Job Summary
As a Tennis Center Member Services Coordinator your main objective will be to provide the highest level of service to our members, their guests and program participants. Primary duties in relation to membership include responding to member and guest needs, promoting programs and events, guest follow up, and providing outstanding customer service. Operational duties include providing administrative support to the Tennis Center and assisting in desk operations at any of the member entrances.
DUTIES AND RESPONSIBILITIES
AREA RESPONSIBILTIES
- Responsible for the operation and management of the Tennis Center desk. This includes but is not limited to providing excellent member service, training and scheduling staff, scheduling lessons and court use, program registration, league administration, redeeming lessons, and collecting payments and fees from members
- Be familiar with daily court schedule. Look ahead to prevent potential issues and provide opportunities for increased efficiency.
- Provide Director with administrative assistance with payroll, purchase orders, maintenance work orders and league management.
- Assist in inputting information for program registration, e-blasts and other communication areas including social media.
- Communicate to current members on policies and procedures, programs, changes or updates, and special events through eblast or Tennis Newsletter
- Prepare and implement contract rentals and other duties for special events.
- Coordinate and administer process for transporting children from the JCC building to the tennis center.
- Order and maintain all supplies; pro shop, Sam’s , tennis balls, etc.
- May be asked or required to work outside of regular work schedule; weekends or evenings for special events.
- Provide additional administrative duties in the recreational departments upon area director’s request and approval by senior director
AGENCY RESPONSIBILITIES
- Provide essential customer service to ensure member satisfaction and member appreciation.
- Maintain current knowledge about all programs, services and activities offered at the J in order to promote these services and assist members with inquiries of these areas.
- Serve as a liaison between members and staff by communicating member concerns to the proper supervisor.
- Provide members and guests with information regarding membership structure, benefits, fees and policies and procedures of the agency. Conduct facility tours with prospective members.
- Provide effective on-boarding experience for all new members; collecting member information and inputting into Salesforce, setting up financial information/payment collection, membership card access.
- Conduct point of sales and registrations for all areas of the agency via phone or in person transactions.
- Responsible for assisting with administrative work for agency and program needs including collecting financial balances on member accounts.
- Process online donations.
- Assist with agency-wide special events programs and other events.

- Minimum 2-3 years’ customer service experience preferred or in a related field.
- Excellent communication skills; Ability to effectively interact professionally with all levels of internal and external personnel.
- Deadline/Task orientated sense of urgency.
- High energy, proactive, requiring little direction, takes responsibility.
- Strong multi-tasking and problem-solving skills.
- Ability to maintain an enthusiastic and professional demeanor while effectively and tactfully dealing with member and guest complaints and concerns.
- Willingness to perform job tasks not part of immediate job responsibilities but aides in member satisfaction and getting the job done.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
