Teksouth is seeking an Administrative Assistant to provide general office support and clerical tasks for the headquarters office in Gardendale, AL to ensure effective and efficient office operations.
Requirements

Answers telephones and directs callers to the appropriate place

Greets visitors to the company and directs them in the appropriate direction

Receives, sorts, and delivers incoming mail

Processes outgoing mail
- Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)

Researches and calculates estimated travel rates and expenses and informs management of costs before booking
-
Make reservations for air, train, or car travel and hotel or other accommodations for employees and inform them of dates, times, and other pertinent travel details before their travel date
-
Responsible for company pool car maintenance, tags, and insurance

Assists employees with booking conference rooms and other working areas when needed

Assists in the ordering, receiving, stocking, and distribution of office supplies, business cards, and company shirts

Arranges delivery of flowers if necessary

Maintains mailing list to mail out birthday/Christmas cards as needed
-
Updates employee hire and termination records for Admin meetings, tracks and disburses magnetic key cards for employees

Assists Accounting Staff with filing and projects as needed

Maintains petty cash box for miscellaneous company expenditures

Manage company cell phones

Assists with other duties as assigned from time to time by executive and administrative staff, including running company errands

Qualifications

High school diploma required
- 2+ years of office experience preferred

Any satisfactory equivalent combination of experience and training which ensures the ability to perform the work may substitute for the above that is deemed appropriate and acceptable

Ability to communicate effectively verbally and in writing

Ability to interact with employees and vendors/customers in a professional manner

Must be well organized and a self-starter with a strong work ethic

Must be able to follow standard filing procedures

Detail-oriented, professional attitude, reliable

Proficiency in or knowledge of using a variety of computer software applications, especially Microsoft Office Suite

Possess strong organizational and time management skills
