Responsibilities:
- Provide comprehensive administrative support to the agency owner and the team, including client management and support.
- Oversee HR functions, including recruiting, onboarding, and employee relations. Foster a positive work environment and support team members' professional development.
- Implement strategies to motivate and inspire travel agents, recognizing achievements and providing support as needed. Update and implement training to keep staff up to date with latest trends.
- Serve as a primary point of contact for internal and external communications, facilitating communication between team members and suppliers. Collaborate with travel suppliers for seamless coordination.
- Coordinate and manage special projects and initiatives assigned by the agency owner, ensuring timely completion and successful execution.
- Streamline processes and procedures to improve operational efficiency and productivity, identifying areas for improvement and implementing solutions.
- Assist with budget management, financial reporting, commission payments, and overall financial management to maximize profitability.
- Ensure compliance with company policies, procedures, and industry regulations, staying informed about changes and implementing necessary updates.
- Contribute ideas and strategies to drive agency growth and success, collaborating with the agency owner to develop and execute strategic plans.
- Collaborate with the CEO, Social Media, and Marketing Managers to promote the travel agency, recruit talent, and implement lead nurturing strategies aimed to convert leads into loyal clients.
- Provide additional support and assistance as needed to ensure the smooth operation of the agency.
Qualifications:
- Previous experience in office management, HR, or related fields preferred.
- Previous experience in travel agency preferred
- Ability to motivate team members
- Budget management and financial planning expertise.
- Familiarity with travel CRM programs.
- Technically proficient and adaptable, with a willingness to learn and problem-solve.
- Excellent communication and interpersonal skills.

- Personal Disney travel experience is a plus.

Required Skills:
Administrative Skills: Ability to coordinate day-to-day office activities and assist agency owner with a variety of tasks.
HR Management: Experience maintaining employee records, coordinating hiring contracts, and assisting with HR functions with the ability to handle confidential information with discretion and professionalism. This includes maintaining confidentiality regarding sensitive business matters, and proprietary data.
Staff Training: Ability to train and onboard new staff members to ensure their success in their roles.
Problem-solving Abilities: Proactively address office, HR-related, marketing, and staffing issues to support agency growth.
Communication Skills: Strong verbal and written communication skills to liaise effectively with the owner, team members, clients, and external partners.
Collaborative Mindset: to work with the agency owner, Social Media, and Marketing Managers to promote the travel agency and work on marketing initiatives as needed.
Adaptability: Ability to adapt to changing circumstances and take on new responsibilities as needed.
Attention to Detail and Time Management: Strong attention to detail to ensure accuracy and thoroughness in all tasks, coupled with effective time management skills to prioritize tasks and meet deadlines efficiently.

Travel Agency Experience Preferred: Familiarity with the travel agency industry, including knowledge of industry trends, terminology, and best practices, is desired.
