We are seeking a highly motivated and dynamic Catering Coordinator to join our team. The ideal candidate will be organized, detail-oriented, and possess excellent communication and customer service skills. The new hire will report to and receive comprehensive training from the catering manager, along with support and guidance from the rest of the leadership team. They will also spend time in the kitchens for hands-on food production training to gain a deep understanding of the entire catering process.
It is important to note that the primary focus of this position is providing high quality customer service. There are no sales goals or prospecting quotas. Success in the position is measured in positive customer feedback, and effective communication with departments.
This role offers flexibility in scheduling and the opportunity to work in a fast-paced (lots of walking) and rewarding environment. The Catering Coordinator is responsible for managing all aspects of catering operations, from initial inquiries to order execution, ensuring exceptional service and client satisfaction.
Responsibilities:
1. Client Relations:
o Serve as a primary point of contact for catering inquiries, providing prompt and professional responses to client requests via phone, email, or in-person meetings.
o Consult with clients to understand their needs, preferences, and budgetary requirements, offering tailored catering solutions and menu suggestions.
o Build and maintain strong relationships with customers and internal teams to ensure seamless communication and collaboration.
2. Hands-on Order Coordination & Execution:
o Coordinate all aspects of catering orders, including menu selection, pricing, payment collection, scheduling, and fulfilment.
o Work closely with kitchen staff and department managers to ensure timely delivery of food and beverages, adhering to quality and presentation standards.
o Ensure each order is 100% completed before departing for delivery or pickup.
o Address any issues or concerns that arise during production, exhausting all resources in providing timely solutions and ensuring client satisfaction.
3. Administrative Duties:
o Maintain accurate records of catering bookings, payments, and client communications using our CRM system.
o Prepare and distribute catering quotes, orders, and invoices, following company policies and procedures.
o Assist with inventory management, including ordering supplies and monitoring stock levels to meet demand.
o Support the catering manager with various projects such as cost control analysis, recipe specifications, implementation of quality assurance procedures.
4. Marketing and Sales Support:
o Provide input on marketing campaigns and sales strategies based on market trends and customer feedback.
Qualifications:
· Previous experience in catering, menu planning, or hospitality management is highly desirable.
· Possess a genuine interest in food, cultural cuisines, dietary restrictions, allergies.
· Strong organizational skills with the ability to manage multiple tasks simultaneously in a fast-paced environment.
· Excellent interpersonal and communication skills, both verbal and written.
· Proficiency in Microsoft Office Suite and CRM software. Ability to learn new procedures.
· Ability to lift and carry items weighing up to 50 pounds.
· ServeSafe certification or food handlers permit a plus but not required.
· Previous training or a degree in Hospitality Management, Business Administration, or related field would be very helpful, but is not necessary.
Requirements:
· Employees are required to wear MFM issued uniform shirt/sweatshirt
· Valid driver's license- May be required to drive MFM vehicles to deliver orders.
· Flexibility to work 8-10 hour shifts between 8:00am and 6:00pm, including weekends. NO LATE NIGHTS
· You WILL be required to work in the days leading up to the 4 major holidays. Coverage for other holidays and weekends will be divided between the catering team.
