POSITION SUMMARY:
The Lease Administration Manager will be responsible for securing a stable and compliant base for EmVenio community research sites to operate. The role, through facilitation, gives the unique opportunity to grow multiple communities in our expanding network. EmVenio Community Research sites need contracted locations in which to park mobile research units and conduct clinical trials, and these locations must be in areas fitting with the company’s mission of providing increased trial access to underserved communities. The Lease Administration Manager will be required to work cross functionally to identify new locations, ensure all local and federal regulations for permitting and zoning are complied with, manage the install of any power solutions and contract with the leaseholder, to provide a compliant, stable location to operate from. The position will also entail the identification and contracting of brick-and-mortar properties both independent and inside partner hospital locations to create larger research sites with a variety of specialties. The responsibility for researching local areas, managing the internal proposal process, handling contracting, and ensuring the suitability of these locations falls under the purview of the Lease Administration Manager.

Essential Functions:
Locations management

In line with EmVenio community objectives and the EmVenio quality system, source primary and secondary locations for all community research sites utilizing mobile research units (MRU’s)

Ensure compliance with all federal, state, regional and city requirements for licensure, permitting and zoning to enable operation

In collaboration with the legal team, lead contract negotiations and management with all current and prospective site locations

Ensure key contractual items are included in location contracts, including but not limited to waste management and ability for unit maintenance on site

Working with local vendors, obtain quotations and execution of all electrical installs to furnish the MRU’s with shore power
-
In collaboration with the site team, maintain relations with the land leaseholder

In collaboration with site teams, project management, fleet, and regulatory, manage the transfer between locations when relocations are required

Sourcing and contracting of localized overflow storage locations for clinical supplies

Collaboration with Fleet team for emergency planning due to environmental conditions arising from adverse weather conditions

Responsible for holding regular cross functional team briefings to share progress updates and planning
Property Management

In line with EmVenio community objectives and the EmVenio quality system, source and provide options for clinic space within brick-and-mortar locations, both as a new location and as a relocation from a previous mobile research unit or different brick and mortar location

Negotiate lease agreements including fit out and tenant improvements

Manage fit out of new locations in collaboration with Site Management, IT, and Marketing teams

Responsible for holding regular cross functional team briefings to share progress updates and planning

Ensure compliance with all federal, state, regional and city requirements for licensure, permutation and zoning to enable operation

Maintain landlord relations

Ensure timeline extension of lease agreements where required
POSITION QUALIFICATIONS
SKILLS AND ABILITIES
Education: Bachelor’s Degree and three or more years of related experience; or an equivalent combination of experience and/or higher education required. Minimum of 3 years’ experience in a commercial property management position. Contract management experience preferred.
Other Requirements:

Advanced knowledge of real estate and lease properties management and licensure, permitting, and zoning requirements.

WORK ENVIRONMENT
Work is performed primarily remotely or in office, vehicles, and outdoor settings. The noise level in the work environment is usually quiet in office settings and moderate in other situations.

Amount of Travel Required: up to 40%
Schedule: Monday – Friday 8am - 5:00pm, may vary
Compensation: $70,000 - $90,000. The actual rate offered will carefully consider a wide range of factors, including your skills, qualifications, experience, and location.
