About the Position:
The Administrative Assistant/Contract Specialist position is an entry level position, from which we promote individuals who succeed and show initiative. We are looking for the natural born leaders, those who strive for growth and opportunity with the eagerness to learn. This individual will be provided with the training, leadership, and guidance to grow.
Key Responsibilities include:
- Projected Deliveries & Estimated Job Costs
- Confirm all invoices have accurate pricing per Customer Contract Pricing
- Enter Income & Cost data to create Estimated Job Cost
- Researches and communicates any inconsistencies
- Send all customer pricing discrepancies to customer
- Final Job Costs
- Compares Estimated vs. Final Job Costs
- Ensures all subcontractors have been paid
- Alerts Management of any inconsistent or out of tolerance margins with detailed information
- Assist in reviewing customer contracts after Estimating team has submitted bid and/or pricing changes
- Contract Execution
- Assist with creating lock lists
- Update all Invoices per lock list
Other Responsibilities (as needed):
- Assist other departments as needed.
- Special projects as designated by management
- Communicates any system glitches or site errors to tech support
- Answering phones when needed.
- Meeting and greeting customers and visitors when needed.
- Maintain files, work area, and organization.
- Communicate office needs such as supplies, equipment, etc.
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, and filing cabinets.

- Strong communication skills
- Advanced use of standard software applications such as Microsoft Outlook, Excel and Word.
- High degree of accuracy, attention to detail, and confidentiality.
- Ability to prioritize and organize as needed
- Self‐motivated professional with a strong work ethic and the ability to establish relationships and interact with executives, co‐workers, and customers with ease.
- Individual must be highly ethical, dependable, trustworthy, and diligent.
- Must enjoy working in fast paced, always changing environment.
- Ability to organize, meet strict deadlines and work both independently as well as part of a team.
