Position Title: Purchasing Coordinator- Japanese Bilingual-

General Position Summary
The position of Purchasing Assistant is responsible for supporting our Purchasing Department with administrative tasks. The individual will be responsible for tracking material and/or product orders to ensure timely delivery, evaluating supplier performance, maintaining sufficient inventory levels on assigned materials, researching materials for assigned projects, assisting with production planning.
Essential Job Functions
INTERNATIONAL PURCHASING ASSISTANCE
- Obtain quotes from forwarders on air shipments, process, and coordinate order.
- Follow up on air shipments with forwarders, and alert appropriate teams on status until delivered.
- Receives invoice from forwarders on air freight to confirm fees for accuracy. Receive product into QuickBooks and forward invoice to the accounting department for payment.
- Calculates carrier shipping costs as necessary and quote sales teams.
- Creates proper documentation for shipments to Canada, Australia and other countries as required.
- Obtains items, prices, and freight costs of incoming shipment to verify information against bill of lading, invoices, orders, or other records and submits invoice.
- Obtain quotes from Japan on labels and packaging materials.
- Maintain sufficient inventory of labels and packaging materials in Japan, by coordinating ordering volume with the team and processing orders to Japan.
- Other projects and duties as assigned.
DOMESTIC PURCHASING ASSISTANCE
- Coordinates and communicates with co-packers, vendors, and logistics department to ensure timely deliveries.
- Ensures ordered products are delivered on schedule and meets the quality standards of the company; generate reports on shortages, delays, errors, and/or damages to the team.
- Receives invoice from co-packers and vendors to confirm price and quantity for accuracy. Receive products into QuickBooks. Forward invoice to the accounting department for payment.
- Confirm material inventory status with co-packers after each order is complete; and update the team on production loss percentages and remaining inventory.
- Maintain sufficient inventory of assigned materials (flavors, ingredients, and miscellaneous components).
- Works with Management to evaluate co-packer performances and prepare performance evaluation form.
- Order and/or print product pouch, inner case, and shipping labels.
- Maintains sufficient inventory of labels and packaging materials in the US, by coordinating ordering volume with the team and processing orders to vendors.
- Ensures data is entered with a high level of accuracy while creating and verifying purchase information including proper product cost, and shipping instructions, etc.
- Other projects and duties as assigned.
PURCHASING ADMINISTRATIVE ASSISTANCE
- Assist with researching materials (materials, ingredients, flavors) needed; requests samples and follows up as needed.
- Maintains supplier and pricing lists on the server.
- Coordinates product change notification as needed.
- Prepares necessary forms (requisitions, purchase orders, etc.) as requested.
- Completes inventory adjustments as requested by Purchasing Team, sales and/or warehouse staff.
OTHER & MISCELLANEOUS
- Bilingual (read, write, speak) Japanese/English preferred
- Seeks constant improvement and more efficient ways/means in work processes.
- Maintains good communication with Supervisor, office staff members, and outside contacts.
- Performs special projects and other miscellaneous duties as assigned by Supervisor to support organizational growth.
- Maintains high ethical standards in the workplace.
- Reports all irregular issues and problems to Supervisor for solutions.
- Maintains good communication with Management, Supervisor, office staff members, and outside contacts.
- Complies with all company policies and procedures.
Qualifications
Education Experience
- Bachelor’s degree (B.A.) from four-year College or university; or equivalent combination of education and experience
Work Experience
- Minimum 1 year in office support environment, preferably in purchasing department
- Experience in food and/or beverage ingredient, value added ingredient, or nutraceutical ingredient a plus
Technical Experience
- Proficiency in Microsoft Office (e.g., Word, Excel, Outlook, PowerPoint)
