Role Overview: In this role, you will take ownership of all purchasing data and ensure smooth coordination with factories and overseas offices. Your primary responsibilities will include ordering, tracking, coordinating, reviewing, and approving shipment timing for purchase orders. Additionally, you will be responsible for reviewing and approving or rejecting pre-shipment inspections, expediting orders, monitoring vendor performance, and maintaining accurate records within the ERP system.
Responsibilities and Duties:
- Assist and actively participate in cross-functional teams to execute purchase orders for new and existing product lines.
- Work extensively in Microsoft Excel to organize and manage purchasing data.
- Negotiate with vendors to secure the best pricing and ship dates for new purchase orders.
- Coordinate with internal departments and external manufacturers to develop production timelines and estimate product arrival.
- Review, follow up, and sign off on purchase order confirmations from vendors.
- Organize and maintain time-sensitive documents, including order confirmations.
- Act as the key liaison between overseas factories, logistics, and other departments to ensure clear communication throughout the purchasing process.
- Communicate the status of booked purchase orders to both internal and external stakeholders.
- Confirm that item numbers and UPCs are correctly set up in the system and resolve any duplication issues.
- Organize and review supplier quote sheets for accuracy and completeness.
- Maintain shipment records and delivery dates accurately within the ERP system.
- Negotiate and issue chargebacks to vendors related to late shipments and product quality issues.
- Monitor vendor performance and create vendor scorecards for the product development team and buyers.
- Assist new vendors on Gerson Purchasing Compliance.
- Review and verify all new item quote sheets for completeness each season.
- Assist in proofing catalog product data each season.

- Perform other duties as assigned from time to time.
Qualifications:
- Positive “can do” attitude.
- Strong attention to detail, mathematical ability, and advanced proficiency in Excel and other Microsoft products.
- Significant experience in purchasing, quality control inspection, and testing, with a strong organization of information.
- Excellent communication skills, both oral and written, with the ability to communicate effectively across all levels of the organization.
- Ability to prioritize, multitask, and adhere to strict deadlines, with a willingness to work extended hours during peak periods.
- Knowledge of general manufacturing practices preferred.
- College degree preferred (but not required).
- Bi-lingual (English & Spanish) preferred (but not required).
