As the Catering & Event Coordinator at Finney Hospitality Group, you will play a vital role in supporting the planning, coordination, and execution of our catering and event services. Your attention to detail, organizational skills, and customer service focus will be essential in ensuring the success of each event and exceeding our clients' expectations.
**Responsibilities:**
1. Client Relations:
- Serve as a primary point of contact for clients, assisting with inquiries, event inquiries, and coordination of event details.
- Communicate effectively with clients to gather event requirements, preferences, and special requests, ensuring all needs are met.
- Provide exceptional customer service throughout the planning process, addressing client questions, concerns, and changes promptly and professionally.
2. Event Planning and Logistics:
- Assist in the planning and coordination of all aspects of events, including venue selection, menu planning, rental coordination, and logistics.
- Work closely with internal teams, including culinary, operations, and sales, to ensure seamless execution of events.
- Create detailed event timelines, production schedules, and floor plans to guide event setup, execution, and breakdown.
3. Menu Coordination and Execution:
- Collaborate with clients and culinary team to develop customized menus that align with event themes, preferences, and dietary restrictions.
- Coordinate menu tastings and presentations for clients to ensure satisfaction with menu selections.
- Oversee food and beverage service during events, ensuring quality, presentation, and adherence to health and safety standards.
4. Vendor and Supplier Management:
- Liaise with external vendors and suppliers to procure event-related services and products, such as rentals, florals, and entertainment.
- Negotiate contracts, obtain quotes, and coordinate logistics with vendors to ensure timely delivery and setup.
- Maintain relationships with vendors and suppliers, seeking opportunities for cost savings and value-added services.
5. Administrative Support:
- Prepare and distribute event proposals, contracts, and invoices to clients, ensuring accuracy and timely processing.
- Maintain organized event files, documentation, and records, including client communications, contracts, and event details.
- Assist with administrative tasks as needed, including data entry, scheduling, and general office duties.
