Job Title: Concierge
Position Type: Full time – Regular
Shift: 8am to 4:30pm
Pay: Starting from $23.50/hour
Job Summary: The Workplace Services Concierge role aims to provide Exela’s customers with a unique experience. The Concierge will provide welcome services and support to all guests (not just visitors) on their assigned floors, delivering seamless services to all guests and ensure the space is always in optimal condition.
Essential Functions & Responsibilities:
- Greet customers or guests with a warm and friendly demeanor, creating a welcoming atmosphere from the moment of arrival with a professional, positive energy.
- Provide information, directions, and assistance to customers regarding various services, amenities, or attractions within the facility or community.
- Handle inquiries, requests, and concerns promptly and courteously, striving to exceed customer expectations at every opportunity.
- Coordinate reservations, appointments, and bookings for services or events, ensuring accuracy and efficiency in scheduling.
- Act as a liaison between customers and other departments or personnel, facilitating communication and resolving issues as needed.
- Maintain a clean, organized, and visually appealing lobby or reception area, including ensuring that informational materials are readily available and up-to-date.
- Assist with special requests or arrangements, such as transportation arrangements, restaurant reservations, or special event planning.
- Anticipate customer needs and proactively offer assistance or suggestions to enhance their experience.
- Handle incoming calls, emails, or messages professionally and efficiently, directing inquiries to the appropriate department or individual, including calls from 1-800 lines, and being able to deal with questions, address complaints, redirection, and/or taking messages.
- Collaborate with colleagues and management to continuously improve service delivery and refine processes to optimize the customer experience.
- Uphold company policies, procedures, and standards of service, ensuring compliance with all applicable regulations and guidelines.
- Maintain confidentiality and discretion when handling sensitive information or guest requests.
- Maintain/Control visitor access database with building security
- Conduct regular floor walks
- Prepare conference rooms according to meeting requests, which may include arranging furniture, setting up audio/visual equipment, ensuring room is clean, provide and replenish supplies or refreshments as needed and resetting spaces after events
- Perform other duties as assigned
Key Skills:
- The Concierge is required to have excellent communication skills, a pleasant personality, and love interaction with people, and must have some basic conflict resolution skills and be able to handle difficult customers professionally.
- Proven experience in customer service, hospitality, or a related field.
- Proficiency in using computer systems, including basic knowledge of email, internet, and office software applications, particularly Microsoft Office software, including Microsoft Word, Excel, Outlook.
- Exceptional interpersonal and communication skills, with the ability to interact effectively with diverse individuals.
- Strong organizational abilities and attention to detail, with the capacity to multitask and prioritize effectively in a fast-paced environment while handling multiple projects simultaneously.
- Self-motivated with strong interpersonal communication skills and superior client service skills.
- Demonstrated resourcefulness and problem-solving skills and the ability to remain calm and composed under pressure.
- A genuine passion for delivering outstanding service and exceeding customer expectations.
- Excellent written and verbal communication skills with a good command of the English language.
- Knowledge of local attractions, businesses, and resources relevant to the area served by the facility.
- Team player with a proactive and positive attitude.
Minimum Qualifications:
- 18 Years of Age or Older
- Associate's or bachelor's degree in hospitality management, business administration, or a related field, or an equivalent combination of education and relevant experience is required. Must have high school diploma, GED or equivalent.
- Previous experience working as a concierge, front desk representative or in a similar guest services role.
Physical Requirements:
- Required to stand, walk, simple grasp, reach with hands and arms
- Repetitive motion is required; may require twisting/bending/climbing
- May lift up to 50 lbs. frequently
Prior Helpful Experience May Include:
- Familiarity with office equipment and procedures
- Additional language proficiency, particularly in languages commonly spoken by customers or guests.
Pay Disclosure:
"The pay range for this position starts at $23.50/hr; however, base pay offered may vary depending on job-related knowledge, skills, and experience. Bonus opportunities may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered.”
