Position Purpose: Assist the Project Manager for all project logistics in order to meet completion requirements and profitability objectives. Maintain and build good customer relationships by acting as a liaison between Vollers and all customers, subcontractors, architects, owners and general contractors.
Responsibilities:
- Be the first point of contact for the client regarding all administrative field issues, including but not limited to: RFI and submittal responses, clarifications on scope of work, and questions regarding overall project scheduling.
- Responsible for One Call and Soil Erosion notifications and process management.
- Coordinate with the Purchasing Department to determine responsibility for “up front needs’. Assist with the purchase and release of materials for production and delivery in accordance with contract documents through project completion.
- Work with the Project Manager to compile subcontractor bid packages and assemble this information in the Bid/Purchase comparison sheet.
- Compile submittals, send for approval and track for the duration of the project.
- Complete structure take – offs and quote requests for additional materials. Compile a quantity / cost list for material adds / removals for the review and approval of the Project Manager. Once approved send to the appropriate individual for contract or purchase order.
- Provide updates to and work along with the GPS department to keep the project network “current plans” folder updated. It will be the responsibility of the Project Engineer to relay plan changes between the Field and Office.
- Process and track all change orders.
- Responsible for all project closeout documents including but not limited to asbestos certification, O&M electronic files, warranty and guarantee letters.
- Distribute certificate of insurance for all projects as needed.
- Assist Project Manager with updating budgets before monthly meeting.
- Administrative tasks for the Project Manager including but not limited to; filing, copying, faxing and preparation of letters and proposals.
- Daily field tasks will include and are not limited to the following, , track crews’ progress throughout the day to keep an accurate field schedule and as-builts, coordinate with client to assure that upcoming work is available for Vollers’ crews.
- Daily administrative tasks will include but are not limited to the following: ordering and tracking materials, collaborating on project schedules, preparing plan takeoffs, proposals and RFIs.
- Manage the shop drawing process and other submittals through final approval and project close out.
- Assist with purchasing and coordinating material deliveries as required in accordance with the contract documents, then verify quantity and quality of items delivered.

Knowledge & Skills:
- Bachelor’s degree required, with a concentration in Engineering or Construction Management is required.
- Be self-motivated and organized with great time management skills to balance multiple ongoing responsibilities.
- Continued pursuit of continuing education including, PE, MA, MBA and certificate programs.
- Possess business acumen required for change order preparation, billing and management of gross profit.
- Ability to read and understand project documentation including plans, specifications, geotechnical reports, etc.
- Continually develop and use leadership skills.
- Proficient in PC software and systems such as Microsoft Office, PDF, online plan and document storage, AutoCAD, Bluebeam and HCSS.
- Ability to adhere to policies, guidelines and rules set forth; promotes the Vollers safety policy.
