Responsible for Project Coordination of Conservation projects, preparing analysis for Conservation projects, scheduling all service, installation and conservation field technicians. This includes travel requirements, maintaining status in Minol’s Service Module and the master calendars, and maintaining inventory totals – both remote and onsite.

2-5 years’ service or construction industry scheduling/coordination a plus

Receive approved Service Work Authorizations via Service Tool.
Schedule service with properties and post requests.
Fax/Email scheduled Work Authorizations to properties.
Determine materials necessary and ship/order/track as needed.
Set up calendar item for Technician’s schedule – include any necessary attachments.
Communicate schedules to field technicians.
Research travel needs – Request approval for cost. Once approved, book travel and provide itinerary to Technicians.
Contact properties 48 hours prior to scheduled service call to confirm service date and verify that tenants were noticed.
Maintain service tool with all updates.
INSTALLATIONS (Multifamily/Military)

Receive new project contracts.
Setup project folders (physical & electronic) – include job scheduling worksheet, analysis sheet, audit form, maintenance survey, order insurance documents, enter budget numbers & prepare deposit invoice if needed.
Assign Installers and schedule project based on geographic location and availability of Installers.
Set up calendar item for Installer’s schedule – include any necessary attachments.
Research travel needs – prepare travel request form. Once approved, book travel and provide itinerary to Installers.
Determine materials necessary for each project and order/ship as needed.
Expedite and track order status to meet delivery requirements.
Update and maintain inventory & pricing list.
Contact property to advice of project schedule, go over process & provide tenant notices. Contact property again 48 hours prior to scheduled date to confirm.
Receive installer notes from completed project – prepare final documents for project – include Leak/Drip Report, Final Project Summary Report, final inventory balances and invoice documents for accounting.
