The Event Manager isn’t afraid to get their hands dirty to ensure the success of each event and maximize the guest experience. The person in this position should be a pro at making sure the tables and chairs are set before the linen goes down, the linen order is correct, they are perfectly pressed, and ready on time. It’s meeting with vendors in the morning, its getting phones calls late at night to help solve problems, unloading trucks, putting up drapes, and doing whatever it takes to execute a successful event.
The Event Manager is friendly, enthusiastic, has a “can do” attitude, customer service driven, and detail oriented. They must be organized, quick on their feet to make decisions, and must be a problem solver. They approach each day with a strong sense of urgency and are resourceful. They must be flexible and adaptable to shifting priorities based on the company’s needs.
This position will support the venue owner and the lead event planner. Prior experience is not necessary as you will be trained but experience is a plus. Those interested in gaining experience as an event assistant, venue manager, bridal consultant, event designer, event manager, event coordinator, event planner, or event staff are encouraged to apply. - Extracurricular experiences (such as team sports, school newspaper, etc..)
- Military experience
What You Will Be Doing
- 3-6 month commitment
- 6 Events minimum per month
- Providing excellent customer service to the client
- Planning and managing intimate events such as weddings, vow renewals, birthdays, baby showers and other social events
- Planning and managing corporate events such as networking, educational events, grand openings, ribbon cuttings and other company organized events
- Event prep, on-site event execution including set up, day-of coordination, tear down, and follow up
- Assisting to create extremely detailed event itineraries, floor plans and presentations ensuring a seamless experience from conception to delivery
- Posting and responding to clients and potential clients on the phone and messaging apps
- Venue walkthroughs
- Learning and maintaining our client management portals (Honeybook, Google Drive, Clickup, Notion, etc.)
- Attending monthly sales meetings
- Listening in on sales calls to learn what questions to ask clients
- Resolving guests’ concerns, inquiries and complaints
- Coordinate cleaning and maintenance of equipment needs on-site
- Communicate building maintenance needs
- Check in all rentals and vendor deliveries
- Manage and track all inventory
- Communicate with client's vendors prior to event
- Sourcing, securing and communicating with vendors, entertainers and sponsors by cold calling, networking, emailing and social media messaging
- On-call during events
- Troubleshooting of sound and security system
- Communicating regularly with all vendors throughout event
- Keeping organized records of meeting notes, event documents, and event details
- Creation, standardization and application of new and existing venue processes
- Working event and operations shifts as needed
- Maintaining cleanliness of venue
- Shutting down the Venue at the end of the event
- Completing “Event Rental Checklist” and submitting to Hideout owner
- Enforcing all Hideout rules and regulations
- Adhering to all health and safety regulations

DAY TO DAY OUTLINE
All Hideout staff are required to wear all black attire while at work unless otherwise stated.
START OF DAY ROUTINE
- Put on venue playlist
- Make sure the venue is tidy and presentable
- Respond to clients on the venue email
- Respond to client’s text messages
- Respond to client’s voicemail
- Check PeerSpace for inquiries
- Check Thumbtack for inquiries
- Check Eventective for inquiries
DURING THE DAY ROUTINE
- Meet and greet all walk ins & appointments
- Offer complimentary water to all walkthroughs
- Follow Up with previous walkthroughs
- Cold call 20 people daily
- Send follow up emails
- Connect with vendors to promote the venue
- Prep event hall for upcoming events
- Breakdown from previous events
- Organize inventory
- Post photos of rental inventory on social media
- Send out newsletters to subscribers
- Post flyers to all social media accounts
- Post on Instagram stories
CLOSING DAY ROUTINE
- Dust, sweep and mop
- Take out the trash
- Replace tissue, paper towel and soap dispensers if empty
- Turn off all lights
- Turn off TVs
- Set both AC units to 83
- Lock the doors
LUNCH BREAKS:
1 hour lunch breaks are permitted
WHAT YOU CANNOT DO :
- Disclose any internal information, systems, databases, contracts, or staff only information to the public or anyone outside of the Hideout Orlando organization
- Sleep on the job
- Leave before counting inventory ESPECIALLY AFTER EVENTS
- Leave shop unattended without notice
- Harass, or interrogate a client or potential client
- Promote another venue business in the shop
- Ignore calls from potential clients
- Quote or discuss venue prices under the venue minimum ($750)
- Smoke, drink or consume illegal drugs on Hideout property
- Wear graphic Tees
- Wear inappropriate or revealing clothing
