Responsibilities:
- Front Desk Duties:
- Greet customers warmly and assist with inquiries.
- Answer phone calls, schedule appointments, and manage walk-in clients.
- Maintain a tidy and welcoming reception area.
- Administrative Tasks:
- Handle paperwork, including invoices, work orders, and inventory records.
- Organize and file documents related to repairs, parts, and customer information.
- Assist mechanics with data entry and record keeping.
- Customer Service:
- Provide exceptional service to clients, addressing their needs promptly and professionally.
- Coordinate vehicle drop-offs and pick-ups.
- Communicate repair updates to customers.
- Inventory Management:
- Monitor stock levels of essential supplies (e.g., oil, filters, tools).
- Place orders for parts and supplies as needed.
- Keep track of inventory and report shortages.
- Basic Bookkeeping:
- Record financial transactions, including payments and expenses.
- Assist with billing and invoicing.
- Collaborate with the accountant as necessary.
Qualifications:
- Experience: Previous experience as a secretary or administrative assistant is preferred.
- Communication Skills: Excellent verbal and written communication skills.
- Organization: Strong organizational skills and attention to detail.
- Computer Literacy: Proficiency in Microsoft Office (Word, Excel, Outlook).
- Customer-Focused: Friendly, approachable, and customer-oriented.
- Adaptability: Ability to handle multiple tasks and adapt to changing priorities.
- Mechanical Knowledge: Basic understanding of automotive terminology is a plus.
