Job Title: Office Manager
Reports To: Terminal Manager
Job Summary: We are seeking a reliable and proactive Office Manager to oversee administrative operations and ensure our office runs smoothly. The Office Manager will be responsible for managing office operations, billing, and supervision of staff. This role requires a detail-oriented individual who can effectively multitask and prioritize tasks in a fast-paced environment.
Job Responsibilities:
- Manage office operations and procedures to ensure organizational effectiveness and efficiency.
- Supervise administrative staff and allocate responsibilities to ensure maximum productivity.
- Understand the positions of the staff overseen.
- Fill in when the staff is absent.
- Maintain office supplies inventory by checking stock, anticipating needs, and placing orders.
- Develop and implement office policies and procedures and ensure compliance with company policies.
- Handle sensitive and confidential information with discretion.
- Prepare and send billing invoices.
- Ensure operations comply with local, state, and federal regulations.
- Handle customer or staff disputes.
- Backup for A/R.
- EOM reporting.
Required Skills:
- Proven experience as an Office Manager or similar administrative role.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular).
- QuickBooks experience
- Excellent organizational and time management skills.
- Strong verbal and written communication skills.
- Attention to detail and problem-solving skills.
- Ability to multitask and prioritize daily workload.
- High degree of integrity and confidentiality.
- Associate’s degree in business administration, management, or similar. (preferred)
