We are seeking a motivated and personable Front Desk Receptionist to join our dynamic team. As the first point of contact for our company, you will play a vital role in creating a positive and welcoming atmosphere for visitors, clients, and employees. Job Description
- Answering Calls: Manage incoming phone calls, route them to the appropriate departments or individuals, take messages, and provide general information about the company. Address basic inquiries and direct more complex questions or issues to the appropriate departments or personnel.
- Greeting Visitors: Welcome visitors, clients, and guests with a friendly and professional demeanor. Offer assistance and provide directions as needed.
- Front Desk Management: Ensure the front desk area is clean, organized, and presentable at all times. This includes arranging materials, brochures, and any necessary equipment.
- Visitor Log: Maintain a visitor log or sign-in sheet, recording visitor names, contact details, and the purpose of their visit for security and record-keeping purposes.
- Mail Handling: Receive and distribute incoming mail and packages. Organize outgoing mail and ensure it's sent out promptly.
- Office Supplies: Keep track of office supplies and place orders as needed to maintain inventory levels.
- Maintaining Confidentiality: Handle sensitive information and client data with discretion and confidentiality
Qualifications:
- High school diploma or equivalent; additional education or certification is a plus.
- Proven experience as a receptionist, front desk representative, or in a similar role.
- Exceptional interpersonal and communication skills, both verbal and written.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Proficient in using office software (e.g., Microsoft Office) and basic office equipment.
- Customer-focused attitude with a genuine desire to assist and help others.
- Professional appearance and demeanor, with strong attention to detail.
- Ability to work independently and collaboratively as part of a team.
- Familiarity with customer service principles and practices.
- Flexibility to work shifts and adapt to changing needs.
- Ability to successfully complete a background check subject to applicable law
