Payroll & Benefits Specialist | Requirements:
- Two to five years experience processing full cycle in house payroll preferred.
- AAS degree in Accounting or CPP, Business Administration or related field of study required; Bachelor’s degree preferred.
- Paycom experience preferred.
- Minimum of three years of experience within an HR team with primary responsibilities for payroll and benefits in an organization of 500+ employees required. In depth knowledge of U.S. payroll tax/withholding laws, FLSA requirements/rules and any related labor laws required. Experience working with timekeeping software such as Kronos or ADP required. Union and non-union experience preferred.
SPECIFIC REQUIREMENTS:
- Computer experience including Microsoft Word and Excel.
- Prepare voluntary deductions, as well as wage garnishments, pay levies, and other involuntary court-ordered payments in a timely manner, including reporting to the necessary authorities
- Must be able to plan, organize, develop, implement and interpret policies and procedures and the ability to make independent decisions when circumstances warrant such action.
- Good communication skills, both oral and written. This includes working in a professional manner with both professional and non-professional personnel.
- Ability to adjust to changes in the operations resulting from both internal and external sources while responding to supervisor and fellow employees in a professional manner.
Payroll & Benefits Specialist Role & Responsibilities:
- Implements and monitors the day-to-day policies and procedures governing the payroll functions.
- Processes and verifies nursing department timesheets on a weekly basis.
- Entering benefit time and call offs into Paycom for the nursing department.
- Maintains payroll records for each employee in accordance with current government regulations.
- Inputs and maintains employee data, including review of new hire information and changes in information as needed.
- Prepares payroll checks in accordance with current pay period schedules.
- Verifies work schedules against time sheets when necessary.
- Maintains time sheets in accordance with current regulations.
- Assists in the establishment and maintenance of adequate payroll records that reflects the operating costs of the organization.
- Prepares wire transfers for Accountant.
- Uploads garnishment and income executions to Paycom.
- Adding and maintaining benefits for All facilities in payroll system. This includes any changes in status and determining final payout of any benefits.
- Verifies payroll reports at the end of each pay period, quarter and end of year.
- Inputting the Employee Appeal donations annually as well as payment of donations on a monthly basis.
- Assists employees in obtaining information concerning their payroll check, deductions, etc. as necessary.
- Maintains confidentiality of all payroll information.
- Assumes the administrative authority, responsibility and accountability of directing the payroll functions and programs.
- Maintains logs and records for reconciliations and monitoring of payroll.
- Reconciles pay period and quarterly deductions and communicates to Human Resources monies owed for payment for missed deductions. This includes completing and processing benefit change forms for these deductions.
- Processes all check deposits for all facilities on a daily basis. This includes scanning all checks to the bank.
- Completes all projects given to payroll by Administration and fiscal executives.
- Keeps the Payroll Manager and CFO informed as to the status of the payroll operations. This includes recommending proposed changes to current policies and procedures that would enhance the overall operations of the department and organization as a whole.
- Performs any other duties required by the Payroll Manager.
- Administers employee benefits programs including health insurance plans, dental insurance plans, group life insurance policies, group supplemental life insurance policies, short and long term disability, retirement plans and flexible spending accounts.
- Ensures completion and maintenance of enrollment applications and claims forms or records for all benefit plans.
- Handles benefit inquiries and complaints to ensure quick, equitable and courteous resolution. Maintains contact in person, by phone, e-mail or fax, with insurance companies, employees, and beneficiaries to facilitate proper and complete utilization of benefits for all employees.
- Point of contact for employees who seek a LOA, including but not limited: NYS DBL, PFL, FMLA, Personal leaves, etc.
- Advises and counsels everyone on the Campus on existing benefits and compensation programs
