The Front Office Administrator plays a crucial role in managing the day-to-day operations of the front desk reception area for our company. Additionally, this person is often the first point of contact for visitors and clients, making effective communication and interpersonal skills essential for success in this role.
Primary roles and responsibilities:
- The Front Office Administrator greets and welcomes visitors in a professional and friendly manner.
- Answer and direct incoming phone calls to the appropriate person or department.
- Provide information to visitors and handle inquiries from clients, customers, or the public.
- Perform general clerical duties, including photocopying, faxing, mailing, and filing.
- Manage and maintain office supplies and technician uniforms, ensuring necessary items are stocked.
- Handle incoming and outgoing mail and packages.
- Use commercial field service management software (BuildOps) for: Work Orders, Materials/Inventory, Invoicing, and Time & Attendance.
- Prepare and send via email payroll hours for service technicians to Human Resources.
- Monitor reports and enter credit card activity as needed.

- Exceptional time management skills and punctuality.
- Prefers to be in office – the Front Office Administrator is NOT a REMOTE position.
Education and Experience:
- Knowledge and proficiency in Microsoft Office (Outlook, Word, and Excel).
- Accounting experience within QuickBooks is a plus!
