Overview of position: The Office Manager is responsible for the overall productivity and profitability of the office while maintaining the FLOSS brand and vision of the company.
FLOSS seeks a driven, organized, and detail-oriented individual looking to grow both personally and professionally and serve as an ambassador of the FLOSS brand/vision to FLOSS employees and clientele.
Duties and Responsibilities:
- Treatment Planning is a must.
- Maintains FLOSS brand in all aspects of the business (in and out of the office environment)
- Build office morale
- Maintain upkeep of offices and professional office appearance
- Responsible for all day-to-day operations
- Keep staff informed of all business matters
- Handles all customer service issues
- Responsible for all reports needed by FLOSS Corporate
- Attend all meetings with office managers
- Efficiently manage productivity and profitability of the office
- Manage AR monthly and outstanding claims weekly
- Maintain front and back office budget awareness
- Build rapport with vendors and representatives
- Insurance billing, pre-authorizations, payment posting and insurance eligibility verification * Monitoring and managing Appointment Book Scheduling -- Coordinating new and existing patient appointments and treatment plans
H UMAN RESOURCES
- Coordinate all working interviews
- Train front office personnel in all job functions necessary to efficiently run the office
- Manage employee time-off and time-off requests
- Conduct employee reviews and evaluations with DDS and RM
- Termination of employees when necessary with thorough documentation*
- Marketing
- Send marketing/advertising solicitations to Regional Manager
- Open communication with RM to make sure we are making the best use of marketing efforts to bring in new patients
- Proactively watch and manage online reviews from all sites (Yelp, CitySearch, Google, etc)
- Work with RM on internal marketing promotions and incentives for office and staff*
Qualifications:
- Bachelors degree
- Dental experience preferred, but not required
- Leadership skills
- Professional demeanor
- Customer service experience
- 2 years management experience
- Driven/Overachiever/Performer
- Excellent oral and written communication skills
- Conflict resolution experience and skills
- Proven multi-tasking ability
- Open to personal development
