The Accounting/Purchasing Specialist position at Reference Audio Video and Security is a role that includes serving as the purchase agent and invoicing assistant. This role is part of our Administrative Team and reports to the Controller. This is an on-site position at our Davenport location.
The person in this role is responsible and accountable for evaluating project logistics, escalating concerns, and personally and pro-actively rectifying situations that affect the customer experience. While operating within Reference’s mission, vision and values, achieves results by consistently identifying, assessing, managing, monitoring, and communicating project implementation.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
As a member of our Operations Support team, duties of the Accounting/Purchasing Specialist include, but are not limited to the following:
- Review proposals prepared by sales and design team.
- Procure project materials by creating purchase orders and placing orders with vendors.
- Coordinate and communicate product logistics with sales and installation staff.
- Maintain and update price book
- Confirm accurate recording of material and labor usage during project installation for timely customer billing.
- Collaboration of customer projects being completed on-budget, according to proposal.
- Generate accurate and timely invoicing for projects and service calls
- Assist with collection of customer accounts
- Adhere to corporate policies and procedures; display professional dress and behavior codes.
- Meet with leadership regularly to share input, ideas, and feedback.
- Complete all assigned tasks or duties as requested.
- Be willing to take on new responsibilities as and when they arise.
SUPERVISORY RESPONSIBILITIES: N/A
MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- Quickbooks experience highly desirable
- Highly organized with proven ability to manage multiple projects at a time while paying strict attention to detail.
- Adeptly and appropriately respond as situations change.
- Excellent written and oral communication skills.
- Professional, personable, customer-friendly demeanor.
- Experience in delivering client-focused solutions based on customer needs.
- Ability to work well with other team members fostering learning and partnership to complete customer projects.
