We are looking for a responsible, trustworthy, and self-motivated Office Administrator with an upbeat and friendly personality to perform a variety of administrative and clerical tasks with little supervision. Duties of the Office Administrator may include providing support to our managers and employees, assisting in daily office needs, managing our company’s general administrative activities, preparing reports, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Office and office equipment. The Office Administrator ensures smooth running of our company’s offices and contributes to driving sustainable growth.
Responsibilities
· Answer and direct phone calls
· Distribute incoming mail/packages and prepare outgoing mail/packages
· Receive and forward communications to different staff and departments
· Write and distribute email, correspondence memos, letters, faxes, and forms
· Assist in the preparation of regularly scheduled reports
· Provide greet and provide general support to visitors
· Perform general office clerk duties and errands
· Ensure that the office is well clean, maintained, organized and secure
· Track inventory of office supplies and inform the management about any shortages
· Manage the conference room schedule ensuring all meeting spaces are prepared prior to use
· Maintain filing system
· Make travel arrangements
· Assist with special projects when called upon
· Provide assistance to staff, managers, and senior-level officers
Skills
- Proven experience as an Office Assistant or Office Administrator
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Friendly, service-oriented personality with great customer service skills
- Strong organizational skills with the ability to multi-task
· Maintains staff confidentiality
Qualifications
- Previous experience in office administration or other related fields
- Minimum: High School Diploma
- Preferred: Associates Degree or Higher
- Have a valid driver license
