The Tennessee Medical Association has an immediate opening for an administrative assistant in our Government Affairs Department.
Candidate will have proven ability to work effectively with others and work independently; superior organizational skills; ample writing and editing skills; experience with small meeting planning and coordination. Requires excellent people skills and computer skills. Experience in a professional office environment is desired.
General overview
This position reports to the Vice President of Government Affairs. This position will provide administrative support to the Vice President and other staff within the division as well as support the activities of various committees of the organization.
Primary Responsibilities
- General support of department staff
- Schedule meeting appointment with legislators
- Coordinate weekly department calls/zooms
- Record and maintain notes from weekly meetings
- Manage physical and electronic files
- Expense report preparation and general admin support
- Draft letters and emails as assigned
- Point of contact for Department's incoming calls and on general office phone system rotation
¨Administrative support for committee work
- Coordinate meetings among multiple entities
- Organize and distribute meeting materials
- Draft meeting minutes from notes
- Prepare check requests and make bank deposits
- Data entry to track donations within a proprietary program
- Prepare financial disclosures for review
- Maintaining files and official correspondence
