Definition:
This position performs a wide variety of collection and customer service, public assistance, and public information functions associated with the provision and billing of municipal utility services to include a high level of both public contact and telephone contact.
Principal Duties:
- Respond to routine internal and external customer service needs and calls including opening and closing service orders, customer follow-up, data entry, and related routine customer service.
- Research billing errors and information gaps such as missing equipment numbers.
- Perform service order data entry duties in multiple database formats (i.e., Banner, Hansen, Excel, and other similar work management systems).
- Provide general administrative support to customer service duties such as:
- Sorting file documents
- Maintaining hard copy and electronic files and records
- Receiving/sorting incoming mail and communications
- Developing information packets
- Maintain activity and work logs
- Review accuracy of work of other customer service staff.
- Schedule work orders, service calls, and other activities for departmental employees. Dispatch or otherwise communicate to other employees on fulfilling service requests and other department needs.
- Estimate material volumes received at City facilities and calculate customer charges. Manage cash transactions, records, receipts, and deposits.
- Perform a variety of related public contact, record keeping, filing, data entry, editing and typing duties, as required.
Working Environment:
Work is performed primarily in an office environment. Job requires vision, hearing and speaking ability to communicate effectively with the public and co-workers. Job requires constant use of fingers and both hands, data entry approximately 6 hours per day, and answering phones. Must be able to work in a fast-paced environment and work effectively with irate, upset or angry customers. Requires deductive reasoning abilities sufficient to recognize and resolve billing errors.
Qualifications:
Any combination of education and experience equivalent to a minimum of one year of general office experience including a significant degree of public contact or one year of customer service experience. Special Qualifications: Bilingual (English/Spanish) intermediate proficiency preferred.
