Finance and Operations Coordinator– Part Time
Description
For His Children (FHC) is a Christian non-governmental organization (NGO) providing residential care for vulnerable children with normal and special needs in Ecuador.
The Finance and Operations Coordinator will report to the Finance Director and will be responsible in ensuring accurate record keeping of all organization financials and donor records. This position requires availability Monday through Friday during normal business hours.
Duties
The Finance and Operations Coordinator will oversee and be responsible for successfully carrying out the following general activities:
- 1.) Finance Responsibilities:
- Record accurately all incoming donations into donor records within the organization’s CRM and into QuickBooks
- Handle all bill pay for the organization including seeking approval, submitting payment, coding in QuickBooks, and saving all related files in an orderly fashion.
- Complete annual application for ECFA membership.
- Handle annual reporting and filings for FHC registered states
- Work with Paychex to handle payroll and reimbursement, quarterly/annual taxrequirements, and on-boarding new employees. Ensure employees receive their paystubs and yearly tax information.
- Manage insurance policies for the organization ensuring any needed reporting iscompleted in a timely fashion and all insurance needs are met.
- Compile credit card expense reports for each staff member
- Reinvest dividends for FHC’s investment income
- Perform other finance duties as needed.
- 2.) Operations Responsibilities:
- Maintaining reports and lists with timely follow-up.
- Manage receipts and thank you emails/letters to donors.
- Manage failed transactions and system errors.
- Report mid/major donations and coordinate with Development team to properly thankdonors.
- Manage weekly donations report, new donors and newsletter subscriptions.
- Run reports in FHC’s database when requested.
- Organize FHC’s database, in conjunction with FHC’s Development and CommunicationsCoordinator, so donor information is up to date and relevant.
- Maintain Charity Navigator and GuideStar websites.
- Manage the FHC phone
- Manage the FHC PO Box
- Mailing materials and restocking supplies
Necessary Qualifications
- ● Full proficiency of bookkeeping, accounting, or other relevant degree/certification preferred
- ● Proficiency in QuickBooks, Microsoft Word, Excel, and Google Workspace
- ● Highly organized and detail oriented
- ● High standards of integrity
- ● Willing to abide by FHC’s Statement of Faith
- ● Consistently displays a positive attitude, flexibility, and excellent interpersonal skills
- ● Demonstrates initiative
- ● Experience with nonprofit donor software
- ● Ability to prioritize and multi-task
- ● Experience in handling a wide range of administrative and support related tasks
- ● Maintain confidentiality on all accounting and personnel matters with a high degree of discretionPreferred Qualifications
- ● Bachelor's degree from accredited university
- ● 1-3 years of experience in bookkeeping, non-profit operations, and fundraising
- ● Cultural awareness of North America and Ecuador
