We are seeking an experienced, knowledgeable, charming and trusted Office Admin to join the team. The Office Admin will partner with organization leaders at all levels ensuring timely & effective communication is clear, concise and action upon. This extraordinary individual will also assist and provide support to the General Manager, Controller and Ownership on various sensitive tasks and matters.
Responsibilities include, but are not limited to:
- Develop and maintain strong relationships with client stakeholders; own the interaction
- Managing, maintaining, and growing the relationship with the client and key stakeholders
- Managing and completing projects as assigned; strong ability to prioritize
- Managing projects and working closely with team to adhere to deadlines
- Provide exceptional and effective communication with clients and internal teams
- Work with customers to resolve shipment issues, i.e., damages, omitted/incorrect items
- Perform other duties as assigned by management
- Complete assigned tasks and projects accurately with minimal supervision
- Create and manage data spreadsheets for tracking and usage
- Manage intra & inter email correspondence
- Complete supply inventory and orders
Qualifications
- Associate's degree (A.A.) or equivalent, three to five years related experience, or equivalent combination of education and experience.
- At least 3 years professional Office Admin experience
- Excellent verbal and written communication skills.
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
- Ability to deal effectively with a diversity of individuals at all organizational levels.
- Good judgement with the ability to make timely and sound decisions
- Creative, flexible, and innovative team player
- Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
- Ability to work independently and as a member of various teams and committees.
- Fluency in Spanish highly preferred
- Vaccinated for COVID-19
- Ability to collaborate with internal departments positively and proactively
- Excellent verbal and written skills
- Ability to shift priorities in a fast-paced environment
- Aptitude to learn new systems and processes
- Proficiency in MS Office, working knowledge of Google Suite and possess basic computer skills
- Ability to prioritize work, meet deadlines, and concentrate on detail in a fast-paced work environment
- Demonstrates exceptional interpersonal and communication skills, both written and verbal
- Able to work in a team environment and welcome feedback and direction
- Capable of standing for prolonged periods of time
- Ability to frequently reach, bend, stoop, climb up and down stairs, walk, and carry multiple objects
- Ability to stay organized and manage multiple projects simultaneously
