Reporting to the executive directors of Psychiatry and of the Department of Medicine’s Division of General Internal Medicine (DGIM), this position partners with administrative and clinical leadership, most specifically the clinical and medical directors, to oversee the management of an innovative treatment model for patients with a substance use disorder through the MGH Program in Substance Use & Addiction Services (PSAS). This position is responsible for resource planning and operational management of an inpatient service, four outpatient practices, two training fellowships, several grant-funded initiatives, research and evaluation efforts, and a variety of education and training efforts across the hospital. It requires directing a large team in multidisciplinary collaboration with clinical and administrative leaders in hospital departments such as medicine, psychiatry, social work, and nursing, as well as the MGH health centers, and the Boston Health Care for the Homeless Program. In addition, the AD will have specific responsibility for work required over the next several years to accomplish the goal of integrating addiction services provided through Massachusetts General Hospital and those provided through Brigham and Women’s Hospital, including, but not limited to, work in the areas of analytics, communication, human resources, and operations.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Clinical Operations:
- Oversees operational aspects of five services in inpatient and outpatient settings, involving oversight of approximately 35 staff members, including direct supervision of 6 managers, and coordination of ~70 clinicians.
- Ensures the implementation of hospital-wide initiatives into these practices.
- Oversees the development and implementation of communication plans with entities across the hospital.
- Oversees practice improvement efforts. Leads managers in revising practice systems to maximize efficiency and meet hospital requirements. Troubleshoots and resolves issues as they arise.
- Identifies areas for improving systems, costs and deployment of personnel through regular monitoring of service utilization data.
- Oversees managers in developing staffing plans, defining required skillsets and directing hiring and on-boarding of new employees.
- Oversees preparation for Joint Commission and other regulatory site visits, as outlined in the Standards of Practice.
- Collaborates with the PO and GH Revenue Control to enhance revenue generation and collections through process improvements. Monitors patient billing activity to ensure compliance with revenue procedures.
- Manages electronic medical record optimization and proactively addresses any workflow challenges.
- Oversees space allocation and renovation projects.
- Proposes new initiatives to departmental leadership and/or program directors aligned with the PSAS mission of improving patient outcomes while reducing cost of care.
Education, Training, and Interdisciplinary Collaborations:
- Orchestrates the coordination of multidisciplinary teams in an enterprise-wide strategic and operational initiative.
- Leads strategic planning efforts to identify priorities and goals for PSAS and ensures initiative-wide alignment with those priorities and goals.
- Develops financial models and business plans for new programs
- Works with internal partners to translate a vision for care redesign into a detailed plan and to implement and track that plan.
- Ensures communication, collaboration, and alignment within and among committees to meet project milestones and deadlines.
- Prioritizes and monitors workgroup deliverables.
- Collaborates with workgroup leadership to develop meeting materials, presentations and action items.
- Leads efforts to integrate substance use disorder care into MGH primary care practices, including development and implementation of a strategy and framework for SUD care in this setting, identification and advocacy around resource needs, development of quality incentives for providers, development of communication plans
- Provides administrative oversight to the Addiction Medicine Fellowship and Integrated Substance Use Training Program, one-year clinical training programs. These programs include a total of 6 trainees every year.
- Cultivates and manages external relationships with community treatment organizations.
Staff Supervision:
- Directs a team of 35 FTEs, include 6 FTE of direct reports: responsibilities include hiring, direction of training, performance evaluation and improvement, and interpreting hospital policies.
- Effectively deploys personnel to ensure coverage in areas of responsibility and promotes staff morale.
- Develops and mentors junior administrative staff members to promote retention and advancement.
Financial Management:
- Manages budgets and cost control for PSAS inpatient and outpatient services, grant-funded initiatives, and the fellowships, totaling almost $10.0 million per year.
- Collaborates with the Department’s Administrative Director for Finance on key financial aspects of the practices such as forecasting revenue and budgeting expenses.
- Optimizes revenue through close coordination with the MGPO Professional Billing Office on billing and collection for services.
Research/Philanthropy/Grant Support:
- Administratively oversees the PSAS research program, including development of study design, submission of Institutional Review Board proposals, and coordination of outcomes analysis for several quasi-experimental and qualitative studies
- Oversee the management of the implementation, evaluation, reporting, and finances for all federal, state, and private grants typically totaling about $3 million/year. Currently, this includes five grants and clinical trials.
- Oversee the management of pre-and post-award research administration.
- Review grant opportunities and manage submission of grant applications.
- Coordinate with the Development Office on grant application submissions and philanthropic opportunities. Manage relationships with donors in partnership with Development.
- Serve as the liaison to foundations through grant application process.

- Bachelor’s degree required, graduate degree preferred.
- At least 5-7 years of related experience in healthcare operations or management.
- Proven leadership abilities including the capability to disseminate senior leadership directives for execution by an operational team.
- Demonstrated superior project management abilities.
- Must be analytical and organized; able to prioritize and handle multiple tasks.
- Savvy customer service skills are needed as well as the ability to work successfully as a member of a team in a large sophisticated organization.
