Our company was established in 1984 as an HVAC service company. We have grown into one of the largest mechanical contractors in NJ servicing large commercial and industrial buildings consisting of chiller plants, built-up penthouses, and large HVAC equipment. DESCRIPTION OF POSITION:
The Junior Project Manager is responsible for some project management in the construction department along with estimating, purchasing and the administration of the department leading to the sucess of the company.
RESPONSIBILITIES:
Estimating:
- Receive, organize and review all bid requests with estimator Receive, download, store, and print bid documents for estimator
- Send out bid documents and RFPs to subcontractors and vendors, when necessary Gather pricing from subcontractors and vendors and pass onto estimator
- Perform takeoffs of materials and estimate labor for smaller jobs
- Enter labor and material costs for smaller jobs into estimate sheets to generate pricing Generate proposals for smaller projects, including a comprehensive scope of work
- Get approval for all estimates and proposals from the construction manager
Purchasing:
- Review contract documents and estimates for necessary material and equipment for all projects
- Negotiate "buy" pricing for equipment and materials, when necessary
- Issue purchase orders for equipment and materials, with the construction manager's approval Gather, review, and approve submittals for equipment purchased for design-build jobs
- Send submittals for approval and track approval progress for engineered jobs
- Track, schedule and coordinate material and equipment deliveries to various locations Review scope of work and issue purchase orders for subcontractors, when necessary
Project Management:
- Coordinate job schedules with general contractors and customers Review project scope of work with foreman and technicians
- Schedule all manpower, material, and equipment deliveries to jobs, depending on priority Coordinate scheduling of projects with subcontractors, when necessary
- Dispatch technicians based on schedule
- Oversee job progress on a day-to-day basis, and make scheduling adjustments, when necessar
Administrative (Job Creation):
- Review estimates and generate budgets for new jobs Fill out job cost sheets for new jobs
- Enter new job information and budgets into VMS
- Enter job information into Job Cost Report
- Create job folders and organize jobs in filing cabinet
- Rotate older and completed job folders into the warehouse, as needed
Administrative (Purchase Orders/AP):
- Gather information on new vendors and subcontractors and pass on to AP to create in VMS Enter all purchase order information into VMS and create formal POs
- Send copies of purchase orders, as needed, to other employees, vendors, and subcontractors Complete all necessary job information sheets and credit forms, when needed
- Review all vendor and subcontractors invoices for accuracy and approve as necessary Follow up with customers to procure tax exempt forms for projects, when necessary
Administrative (Billing/AR):
- Track material, labor, and subcontractor costs for monthly invoicing Generate monthly invoices through VMS for all jobs
- Enter all invoices into Job Cost Report for tracking
- Generate AIA invoices, and other requested payment application formats, as required Generate lien waivers as required
- Get approval from construction manager for all invoices and lien waivers
- Send all invoices to customers, through desired method (mail, e-mail, online billing, etc) Assist AR with customer contact, when necessary, to follow up on invoices
Administrative (HR and general):
- Procure and review time sheets for all field employees
- Enter payroll information into VMS and distribute to HR department
- Gather job specific insurance requirements, when necessary, and pass onto HR for generation Schedule employees for vehicle maintenance, meetings, etc when required
- Gather information and place order for annual uniform and clothing orders
- Review employee issues, concerns, request and pass on to HR department, when necessary Review, obtain approval, and order any tools or non-job-specific materials and equipment requested

EDUCATION AND/OR EXPERIENCE:
College degree in engineering or equivalent experience as an HVAC project manager/administrator

WORK ENVIRONMENT:
The work environment is a medium size office with partial cubes and other workspaces. The area is generally quiet, but may have noise intrusion from the warehouse or vehicle repair area.

Job Type: Full-time
Pay: $65,000.00 - $75,000.00 per year
