CONSTRUCTION/Assistant PROJECT MANAGEMENT
We are an innovative Design Build Full Service Construction Company in downtown NYC (FLATIRON), seeking a full time Construction/Design/Project Assistant with prior construction in the design build experience to fulfill a key role in our fast paced, diverse environment and growing company. This position is designed to lead to project management as the firm grows.
The ideal candidate must be excellent in multi-tasking, very detail oriented and accurate, think outside the box, handle high pressure situations with ease and have the flexibility to switch gears in a moment, good with direction and instructions. Since we design and specify materials, and estimates before the contract stage, this position REQUIRES excel proficiency. A commitment to excellence, excellent communication skills, advanced experience in working in MAC and PC environments and other software programs for project/client presentations, accuracy and reading architectural drawings are all REQUIRED for this position.
PRE CONTRACT SUPPORT:
- Assist in the estimating process, including preparing material lists and new templates in detail for submittals and internal purposes/estimates
- Provide quantity take offs, requesting estimates/quotes, ordering samples, converting estimates to final orders upon client contract and approval
- Coordination and review of quotes,
- prepare final approved orders for purchasing, delivery and tracking delivery process while working closely with Business Administration for execution of purchase orders for plumbing fixtures, light fixtures, tile, stone, lumber material, door hardware, flooring and millwork etc. for all projects/customers.
- Prepare change order detail support summaries for material and labor, client and office submittals as required.
- Prepare specification schedules
- Research sources for materials and labor as directed for the project
- Manage sampling logistics and requests.
- Millwork experience essential for estimating and converting approved order and final changes to Millwork order for approval and submittal to vendors for production.
- Coordinate design drawings with our outsourced drafting team, shop drawings (from vendor) review and update to secure final status and approval. This REQUIRES experience in design/drawing review for approvals with concept drawings and shop drawings.
- Manage and update MILLWORK status report of custom designed elements of projects and retail customer purchases. Includes kitchen and bath cabinetry, built-ins and all Millwork elements created (with design and construction drawings we review and finalize) for projects and customers.
- Update project management system status /task list and communication daily.
- Work independently to shadow the field requirements of material issues and deliveries with Business Administration and Principal in field.
- File and link all project, vendor, client and material specifications and labor related order data, including electronic communication (emails and scanned docs) and reports in office network shared system, project database system and office files or binders.
- Maintain technical and office library, and project material reference files.
Project Coordination/Administration
- Format and produce high quality and error free reports, spreadsheets, memos, letters and other documents
- Assist with client proposals and budgets, product profit analysis and others
- File and organize project information
- DAILY EFFICIENCY and ORGANIZATION CRITICAL
- Word processing and database updating
- Must be proficient in EXCEL and creating budgets/profit analysis for material selections and overall project budgets following existing reporting standards and protocol
- AUTOCAD experience helpful
- Must be familiar with MAC OS X operating systems, PC Network
- Must have 3 – 4 years post collegiate experience in Residential Construction
- Must be accountable for results and follow through of tasks and responsibilities and communication with Manager
- Able to work independently and effectively with changes in priorities
- Willingness to support a diverse work environment
- Must be a team player and have a positive, can do attitude
- Close attention to detail is REQUIRED – no exception
- High degree of discretion dealing with confidential information
