Title: Bilingual Executive Assistant
Employment type: Temp to Perm
Pay rate: $29.00/hr. - $39.00/hr.
Location: New York, NY (Soho), Hybrid
Position Overview:
The Executive Assistant will provide support and assistance to his/her assigned executives. The EA will create, build and manage the day to day responsibilities. They will assist with managing daily appointments and schedule/calendar, correspondence, note taking, and communication with both overseas and domestic partners. They will help coordinate all travel arrangements and expenses (T&E, samples and courier) and budget management. They will also support multiple, ongoing projects that impact the people side of our business.
Job Responsibilities:
- Provide support and assistance to their assigned executives.
- Create, build and manage the day to day responsibilities.
- Assist with managing daily appointments and schedule/calendar, correspondence, note taking, and high volume of communication with both overseas and domestic partners.
- Support all in office appointments by receiving the guests, room set up, procurement of needed IT devices, and other coordination as needed
- Coordinate all travel arrangements and expenses (T&E, samples and courier) and budget management.
- Communicate with Tokyo staff as well as worldwide staff to coordinate VC and in-person meetings.
- Support multiple, ongoing projects that impact the people side of our business.
- Additional assignments as necessary - Other related duties to be assigned by direct supervisor
Qualifications:
- Japanese language proficiency required
- Minimum two (2) years of experience as an Executive Assistant
- Experience in and a passion for working in a retail environment, preferred
- Excellent communication skills- verbal and written; ability to communicate effectively with all level of internal and external "customers"
- Strong computer skills
- Must be highly organized and detail-oriented, with ability to prioritize and multi-task
- Ability to anticipate needs, problem solve and make good decisions while maintaining an even temperament under stress
- Must be self-motivated and personable with a flexible approach to the work required
- Ability to exercise independent judgment and initiative within established guidelines
- Ability to maintain confidential information
