Position Title: Program Assistant
Reports to: Director of Operations
Job Status: Full-Time Position
FLSA Status: 9 am - 5 pm. Monday - Friday.
Pay: Starts at $37,000 annually plus mileage reimbursements & benefits
POSITION SUMMARY
Under the direction of the Director of Operations, the Program Assistant will operate out of a dual role that consists of holding a direct service caseload and various administrative tasks. The program assistant would be responsible for providing a wide range of support with Community-Based services, to include answering phone lines, managing emails, scheduling appointments, data entry, etc.
EDUCATION AND EXPERIENCE
- High School Diploma or GED with 5 years’ experience in the human-services field. A degree in a Human Services-related field is a plus
- Human Services degrees include: Psychology, Sociology, Counseling (religious counseling is not acceptable), Social Work, Child Development, Community Mental Health, Human Services, Criminal Justice (only with Juvenile experience/DJJ), or Education (experience teaching K-12 grade)
- Previous experience in an administrative role in the healthcare field or clinical environment
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:
- Manage referral emails and respond to all requests
- Serve as the point of contact for Case Managers (DFCS, etc.) to receive referrals and maintain and build relationships
- Answer phones and return voicemails
- Enter and organize data in spreadsheets
- Maintain referral manager in eCase notes system for referrals tracking including accepted and denied referrals
- Coordinate drug screen services and assign cases
- Attend meetings as necessary with local DFCS offices to discuss referrals processes
- Provide administrative support to agency contractors (training, resolving eCase note issues, requests for updated SA’s, ensure correct billing codes, etc.)
- Formatting and sending documents for signature
- Manage client satisfaction survey process
- Attend contractor meetings, take notes, and send necessary correspondence
- Relaying internal emails to staff
- Perform direct services that consist of behavior aide, transport, and drug screen services
- Attend agency meetings and trainings pertinent to the role and relay relevant information to social service team

COMPETENCIES
- Knowledge of electronic health record and practice management systems. E-Case Notes and/or ARGO experiences a plus

- Computer Skills – Proficient ability to use a computer and navigate electronic medical record. MS Office suite (Word, Excel, Outlook, PowerPoint) experience required

- Ability to pass all vital background checks/screenings
WORK ENVIRONMENT
- In office position with some community engagement & direct services
- Based on a 40-hour work week including a direct service caseload
- Interaction with a diverse population including team members, providers, clients, etc.
