The Executive Assistant - Bookkeeper will provide high-level administrative support for the family office team, as well as bookkeeping for the family’s various entities.
Essential Duties and Responsibilities
- Calendar Support - Managing the team's schedule, including arranging meetings, setting up conference rooms, and any other meeting related needs.
- Travel Support - Arranging travel plans, including researching, confirming and booking all travel.
- Expense tracking and reporting - Preparing expense reports and gathering support documentation utilizing TripIt and SAP Concur.
- Bookkeeping - Bill Pay, booking monthly transactions, and putting together financial packages for 20+ entities. The bulk of the transactions are related to a portfolio of marketable securities and private equity.
- Family Budgeting - Helping create and manage budgets for family members and related tracking.
- Insurance - Facilitate annual renewals for family’s personal insurance.
- Troubleshooting any issues as they arise.
- Administration - Organizing, sending and receiving documents. Setting up digital files and SharePoint site. Setting up initial secure file transfer portals.
- Special Projects - The ability to take a project from start to finish based on given direction.

Qualifications
- High school diploma or equivalent required. College degree preferred.
- Requires at least 5 years of executive level support experience or a similar role.
- Strong bookkeeping skills, with experience in accounting software. Sage products are a plus.
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Proactive, critical thinking – ability to work with little direction.
- Discretion and confidentiality essential.
- Proficiency in Microsoft Office Suite, especially Excel. Proficiency in Cava a plus.
