The Customer Service Coordinator works closely with the entire distribution team to support daily functions, specifically as they relate to new and existing customers. Strong attention to detail is required in processing purchase orders, as well as communication and organizational skills to track requests.
Some knowledge of basic flooring products and installation is beneficial. Manage claims and the claims process with Claims Department. Manage backorders and fulfillment with Purchasing Department. On-the-job expectations are clear, so self-motivated individuals are preferred.
- Receive customer Purchase Orders (PO) via email, print PO and accompanying email.
- Process PO’s into ERP system (SAP – Fiori).
- Enter all material and quantities from PO’s into its respective SAP order.
- Communicate to Purchasing any low-stock items, that are noticed while allocating.
- File converted PO’s into the Customer Folder, for future printing. Unless, an imminent delivery date is requested… then, print the order immediately.
- Check the Customer Folders (with PO’s to be printed) for material requested for the next business day’s date and before by referencing the requested delivery date against our preset delivery schedule and print them. Give all printed orders to Logistics Manager for dispersal to warehouse.
- Upon return of our trucks, match-up the returned paperwork to the office copy to insure everything was delivered as expected. Staple matched paperwork together.
- Invoice delivered orders and send copies of invoices to the necessary parties.
- File completed office packet for each order, for future reference.
- Handle any phone calls or emails for any concerns (forward any situations that you are not comfortable with to Customer Service Manager for escalation).
- Priny necessary reports for external branches (Ft. Myers, Ellenton, Tampa, Orlando, Daytona and Jacksonville).
- Review and allocate material (excluding Carpet and Wood Orders).
- Print orders according to scheduled install dates and how far out Customer Service Manager establishes lead-time window. Disperse office copies and warehouse copies to their respective areas.
- Maintain a spreadsheet of any backorders and print when material becomes available.
- Communicate to Purchasing any low-stock items, that are noticed while allocating.
- Handle any phone calls or emails for any concerns (forward any situations that you are not comfortable with to Customer Service Manager for escalation).
- Must have high school diploma or general education degree (GED) or at least one-year of related industry work experience or training
- Bilingual experience preferred but not required (English/Spanish)
- Be able to read and interpret training materials, documents, safety rules, operating and maintenance instructions, and policy and procedure manuals
- Ability to write routine reports and correspondence
- Utilize intermediate math skills to determine rounding and conversions of square-footage, yardage, lineal-feet, area, etc.
- Apply common sense and understanding to carry out instructions furnished in written, oral, or diagram form
- Ability to demonstrate or display office protocols to staff and other departments
- Must be highly organized, detail oriented and results driven
- Ability to prioritize and multitask
- Effective written and oral communication skills
- Communicate effectively with customers, co-workers, and supervisors in a professional and courteous manner
- Computer experience a must, SAP experience a plus
