Position Overview:
We are seeking a highly organized and personable Front Desk Lead to join our dynamic team. The Front Desk Lead will play a critical role in ensuring the smooth operation of our front desk, working closely with the rest of our front desk staff delivering top-notch customer service, and managing administrative tasks efficiently. The ideal candidate will be a proactive problem-solver with excellent communication skills and experience working in the aesthetics industry as well as prior management experience.
Key Responsibilities:
Team Leadership:
- Train, supervise, and schedule front desk staff.
- Ability to handle customer concerns & complaints in professional manner while escalating to proper people internally
- Foster a positive and collaborative work environment.
- Accountability for the successful workflow of front desk team with minimal errors
- Provide regular feedback to front desk team members for continuous improvement
Customer Service:
- Greet clients warmly and professionally upon arrival.
- Answer phone calls, emails, and inquiries promptly and courteously.
- Schedule and confirm appointments, ensuring optimal booking efficiency.
- Provide detailed information about treatments, services, and promotions.
- Address client concerns and escalate issues to the appropriate team members as necessary
Administrative:
- Manage front desk operations, including opening and closing procedures.
- Maintain accurate client records and update information in the system.
- Process payments, handle billing inquiries, and manage daily financial transactions.
- Coordinate with medical and aesthetics staff to ensure smooth workflow and timely client care.
Facility Management:
- Ensure the reception area and waiting rooms are clean, organized, and welcoming.
- Monitor inventory of office supplies and place orders as needed with practice manager.
- Assist in organizing events, seminars, and promotional activities.
Qualifications:
- Proven experience as a Front Desk Manager, Receptionist, or similar role, preferably in a medical or aesthetics setting.
- Exceptional customer service skills with a friendly and professional demeanor.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in using office software, scheduling systems, and electronic medical records.
- Ability to handle sensitive information with confidentiality.
- Leadership skills with the ability to train and motivate a team.
- Knowledge of medical aesthetics treatments and terminology is a plus.
Education:
- High school diploma or equivalent; additional education or certification in office administration, customer service, or related field is preferred.
