Summary
The Administrative Assistant will be responsible for providing administrative support to the Firm. This position will support the Oakland office and the Firm’s departmental managers, such as the Marketing, Practice Group Management, and Recruitment & Development departments.
Duties and Responsibilities
Office Support
· Welcome and direct all visitors to the firm.
· Sign for and accept all packages, mail, and documents.
· Oversee meeting room scheduling and coordinate technology requests when needed.
· Maintain the lobby, conference room, kitchen, and general areas by keeping them stocked and in presentable condition.
· Maintain inventory of office supplies, kitchen supplies, and snacks; communicate with the Facilities Manager for necessary purchases.
· Manage miscellaneous projects and tasks assigned by partners, attorneys, and other staff.
Departmental Assistance
· Provide administrative support to the marketing team, such as scheduling meetings, posting to social media, reviewing marketing requests and reports, and organizing files.
· Support training and development initiatives by coordinating sessions and maintaining training and CLE records.
· Collaborate with team members across departments, to ensure that materials, methods, and professional learning achieve optimal results.
· Assist in the preparation of training materials and resources.
· Organize internal development programs and events.
· Assist with preparing mentorship programs.
· Assist with onboarding new employees and preparing orientation materials.
· Coordinate attorney and staff travel logistics for professional development events and case travel as necessary.
· Help with the coordination of legal operations, practice group management, and tasks assigned by practice group leads and others.
· Schedule interviews and coordinate recruiting activities and events.
· Assist with recruitment programs, such as the summer associate program.
· Maintain recruitment records and track applicant data.
· Assist with coordinating and creating holiday gifts; organize and compile recipient lists and addresses.
· Facilitate the scheduling of headshots for all offices; research and schedule photographers as needed.
· Support the managers of other departments as needed.

8:30am - 5:30pm Monday-Friday. Occasional weekends and holidays.
Physical Requirements
Primarily sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to walk short distances, and/or drive a vehicle to deliver and pick up materials. Work can be performed with or without accommodations.
