About this position
The Executive Assistant will provide administrative support to the CEO and CFO. In addition to typing, filing and scheduling, the individual will perform duties such as financial record keeping, coordination of meetings and conferences, obtaining supplies, prioritizing tasks and basic project management operations. Independent judgment is required to plan, prioritize and organize a diversified workload.
Responsibilities:
- Schedule and organize complex activities such as meetings, travel, and department activities for all members of the department while maintaining the calendar for the designated Executive or VP.
- Act as a representative of the Executive or VP in communication and work product including emails, phone calls, general correspondence, and other documents and communications.
- Establish, develop, maintain and update filing system for the designated Executive or VP, retrieving information from files when needed.
- Act as a liaison with other departments and outside agencies, including high-level staff and executive team leaders. Handle confidential and non-routine information.
- Create and design general correspondences, memos, and presentations for members of leadership
- Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
- Answer and refer telephone calls or other inquiries to ensure accurate and timely communications
- Maintain Executive team member(s) calendars, contacts, and email
- Consistently demonstrate ability to respond to changing situations in a flexible manner
Requirements:
- Minimum of 5 years providing executive-level support.
- Intermediate to expert level Microsoft Office.
- High degree of professionalism and confidentiality.
- Ability to collaborate with others and thrive in a team environment.
- Adept at providing solutions and working in cross-functional areas to facilitate successful completion of projects.
- Detail oriented with excellent organizational, time management, and interpersonal communication skills.
- Ability to multitask and demonstrate high-level of flexibility and discretion.
Job Type: Full-time
Pay: $60,000.00 - $70,000.00 per year
