The Office Administrator position will be a central figure in ensuring the smooth and efficient functioning of our office. This role demands a proactive, dedicated individual who combines strong administrative expertise with excellent interpersonal skills.
Key Responsibilities:

Administrative Support: Perform daily administrative functions for the senior management team and the entire support services team, ensuring efficient operation of the office.

Expense Management: Handle expense reports for staff and management, ensuring accurate tracking and timely processing.

Presentation Preparation: Prepare and assemble high-quality presentation materials for the CEO and CFO for Board of Directors meetings. Collaborate with diverse team members to gather necessary information.

Event Coordination: Organize and coordinate events for support services, including internal gatherings, external meetings, and special events, both onsite and offsite.

Vendor Management: Serve as the primary liaison with IT managed services vendor, DAS Health, ensuring effective communication and coordination of services.

Onboarding Support: Assist with the onboarding process for new team members, providing them with the necessary resources and support to ensure a smooth integration into the company.

Facility Upkeep: Manage kitchen cleanliness and stocking, ensuring a well-maintained and welcoming environment.

Supplies Management: Order and manage office supplies, ensuring that inventory is maintained and cost-effectively managed.

Engagement Support: Actively support the engagement of doctors and field team members as directed by the Director of Doctor Engagement and VP of People & Culture. Facilitate communication and collaboration to enhance team cohesion and effectiveness.

General Office Tasks: Undertake additional administrative tasks as required to support the efficient operation of the office.
Qualifications:

Minimum Educational Background: Associate's degree in business administration or a related field. Additional certifications in office management or administrative services are a plus.

Technical Skills: Advanced proficiency in Microsoft Office Suite, especially Excel and PowerPoint. Familiarity with financial and expense management systems is preferred.

Experience: At least 3 years of experience in an administrative role, preferably within a busy corporate environment. Experience in handling corporate communications, managing vendors, and supporting senior executives is highly desirable.
