Job Summary
The Operations Coordinator supports the Chief Operating Officer in the daily administration and efficiency of all Operations departments. This role is crucial for ensuring a smooth operational flow within the company and involves a mix of administrative support, project management, and office coordination tasks. The successful candidate will be a pivotal point of contact within the department, helping to maintain a positive and productive office environment.
RESPONSIBILITIES
Administrative Support
- Assist the COO with daily administrative tasks, including schedule management, meeting coordination, and correspondence handling.
- Prepare and edit communications, presentations, and other documents for the COO.
- Manage and maintain executive appointments and travel arrangements.
- Assist in the preparation of operational budgets and expense reports.
Department Coordination
- Facilitate communication between department heads and the COO to ensure that all teams are aligned with company objectives.
- Coordinate and manage the execution of department projects to ensure compliance with timelines and budgets.
- Assist in developing and implementing department policies and procedures to maximize output and efficiency.
- Monitor and purchase office supplies based on department needs, ensuring cost-effective resource allocation.
Office Management
- Serve as the point of contact for office management duties, including maintenance, mailing, supplies, equipment, and bills.
- Organize office operations and procedures to ensure organizational effectiveness and safety.
- Plan and oversee in-house or offsite activities, like parties, celebrations, and conferences.
- Manage relationships with vendors, service providers, and landlords, ensuring all items are invoiced and paid on time.
Education | Work Experience Requirements
- Bachelor’s degree in business administration, Management, or a related field.
- Proven experience in an administrative/office management or coordinator role.
- Strong organizational and planning skills in a fast-paced environment.
- Excellent time management skills and ability to multitask and prioritize work.
- Strong communication and interpersonal skills.
- Attention to detail and problem-solving skills.
- Proficient in MS Office Suite and office management software.
