Job Title: Membership Coordinator

Position: Position is currently seasonal & temporary, corresponding with heavy registration times. (Anticipated April- September, however subject to change.)
General Overview:
Assist with the process of registering members for our After-School Program. Ensure the accuracy of all information collected and ensure to maintain all information confidential. Track and keep organized files and documents for registrations. Assist with the retention of members from sessions, encourage families to re-enroll.
Responsibilities.
Reviewing membership applications for the School Year or summer.
Communicate with Site Directors or Area Directors to ensure that all members on Step 1 are eligible to participate in the upcoming school year program.
Determining families financial status, by reviewing household size and reviewing paystubs or income verifications. Informing and communicating with parents if they qualify for CCAP and how to best proceed with the process. If families are not qualified for CCAP, inform parents of their monthly fees per child and in total.
Communicating with families if additional pay verification is needed.
Review CCAP Applications and ensure accuracy; this includes ensuring pay stubs are attached.
Entering fee status into MyClubHub and ensuring families are Tiered correctly, prior to the approval of the application.
Approving applications once all items have been received and ensuring that parents are completing the Step 2 of our application.
Communicating with parents if we are still waiting on Step 2 of the application. If parents are no longer interested in the program, ensure to change application status to decline.
Track the number of memberships that are being approved and ensure that we are able to maintain our program with required ratios, the number of members to enroll will be established by Area Directors.
Collect consent forms from families, if assisting in- person
Provide consent forms and FRAs to families or site directors, depending if in person.
Make phone calls or send messages to help encourage retention of members from session to session.

Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. To accurately complete all required paperwork. To professionally handle and/or get help to resolve conflict. Ability to follow instructions as given and/or directed by supervisor.
