Job DescriptionJob Summary
The Administrative Assistant to the COO will play a critical role in managing the administrative tasks necessary for the smooth operation of the company. This role involves a variety of responsibilities including bank and product applications, vendor onboarding, email management, access management, and organizing and tracking legal documents. The ideal candidate will be highly organized, adept at multitasking, and possess excellent communication skills.
Responsibilities
- Bank and Product Applications:
- Manage applications for banking and financial products.
- Coordinate with financial institutions and internal teams to ensure timely processing.
- Coordinate and track chargeback responses/disputes
- Vendor Onboarding:
- Facilitate the onboarding process for new vendors.
- Ensure all necessary documentation is completed and filed appropriately.
- Maintain a database of approved vendors and their contracts.
- Email Management:
- Maintain and organize the administrative inboxes.
- Set up and manage Google Groups for various teams and projects.
- Ensure timely responses to inquiries and proper distribution of emails.
- Access Management:
- Manage access to company systems and software.
- Maintain records of access permissions and ensure they are up to date.
- Implement and monitor access control policies.
- Organizing and Tracking Legal Documents:
- Maintain and organize all company legal documents.
- Track the status of legal agreements and ensure they are up to date.
- Coordinate with legal counsel as needed.
Qualifications
- Bachelor's degree in Business Administration, Management, or related field preferred.
- Minimum of 3-5 years of administrative experience, preferably in a software development or tech environment.
- Proficiency in Google Workspace (Gmail, Calendar, Drive, etc.).
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Detail-oriented with strong problem-solving abilities.
Preferred Qualifications
- Certifications: CAP, PMP, or Google Workspace Administration certification.
- Experience in preparing reports and presentations for senior management.
- Ability to track project timelines, deliverables, and communicate progress.
- Experience in negotiating contracts and managing vendor relationships.
- Interest in the online gambling industry.
Benefits
- The salary range for this position is $45,000 - $75,000. Actual salaries will vary within the range, and may be above or below the range, based on various factors including but not limited to a candidate’s location, relevant experience, skills, education, and certifications.
