Job Summary:
As a Human Resources (HR) Administrator at Gengras Motor Cars, you will play a vital role in supporting our HR department by overseeing various administrative tasks that require initiative, independence, and confidentiality. The ideal candidate will have basic HR administrative and automotive dealership experience, and have a positive attitude and enjoy working with people and providing customer (employee) support across multiple areas of an organization.
Duties:
- Conduct new employee orientations, ensuring all necessary forms and documents are completed
- Monitor candidate applications, perform background checks, online investigations and provide drug test paperwork to candidates
- Ensure new hire information is uploaded into payroll system accurately
- Ensure HR records/files along with employees’ benefit and personnel files are kept properly organized and updated
- Perform HR file audits
- Assist with the preparation and mailing/distribution of various letters, reports, and other documents including new hire packets and miscellaneous HR/benefit updates/changes
- Prepare termination paperwork to be sent to the manager
- Conduct exit interviews for voluntary terminations
- Coordinate employee events
- Set-up training process for all new hires and ensure completion
- Responsible for compliance of HR related matters
- Assist with compliance and systems support in regard to all applicable laws and regulations (including but not limited to: HIPAA, FMLA)
- Update payroll records by verifying and recording changes affecting wages, tax exemptions, insurance coverage, etc., and data concerning compensation increases, promotions, and/or transfer of employees between departments
- Handle Unemployment claims
- Frequently interact with managers and heads of various departments to disseminate information
- Complete/verify I-9 documentation and maintain I-9 files
- Answer employees’ queries about HR-related issues
- Maintains Personnel Action Forms to upload information into payroll system
- Provide support to the HR department with special projects or assignments as requested
Qualifications for our HR Administrator:
- Experience using Paycom platform preferred
- Automotive experience preferred
- 1 year of HR or administrative experience preferred
- Detail oriented with strong organization, documentation skills and eagerness to improve
- Ability to collect, compile and analyze information and data
- Ability to communicate effectively throughout the organization both in person and through written correspondence and presentations
- Intermediate Microsoft Office Suite and Outlook skills·
- Clean and valid driver’s license with acceptable driving record
- Computer-literate and ability to learn company software
- Must demonstrate strong ability to maintain confidentiality
- Strong empathy and interpersonal skills
- Sound judgment and reasoning skills
- Ability to read, write, and speak Spanish is a plus!
