Summary:

Coordinates and manages all client and matter files for either on-site or off-site storage, as well as assisting in the retrieval and tracking of client and matter files, in an accurate and timely manner within assigned office. Processes client and matter file information into the ARMS (Automated Records Management System). Coordinates and manages local records staff and job assignments.

Job Classification:
Reports and is responsible to the Office Administrator and Records Manager.
Essential Duties:
- Maintains regular and punctual attendance.
- Oversees internal Records Department procedures, in addition to the Firm’s Records Retention Policy procedures, and schedules.
- Coordinates and manages local records staff and job assignments.
- Creates and manages the flow of active and inactive files for either on-site or off-site storage within assigned office.
- Manages special file room projects for the firm.
- Locates and retrieves files and folders, for firm employees.
- Re-shelves returned files.
- Utilizes computer applications such as Microsoft Word, Microsoft Outlook and 3E (for file management).
- Assists staff and attorneys to close inactive matters, as necessary.
- As necessary, other projects as assigned.
Other Responsibilities:
- Performs other work related duties as assigned and appropriate to the Records Department.
- Contributes to hiring and selection process of Records Department Clerks.
Education, Experience and Skills Required:
- Minimum of high school diploma.
- Strong communication, organizational and leadership skills.
- Minimum of 3 years of relevant Records experience.
- Knowledge and experience using Elite 3E, preferred.
- Proficiency with MS Word, Outlook and Excel.
- Ability to work well under pressure with patience and diplomacy.
Physical Requirements:
- Standing and walking frequently.
- Sitting position static for extended periods of time.
- Frequent medium to heavy lifting is required.
- Bending and stooping occasionally.
