Program Coordination
- Review the annual calendar of deadlines and milestones and schedule tasks, volunteer shifts, and staff projects to meet those deadlines.
- Assist Director of Programs in reviewing applicable grant contracts to help ensure implementation plans meet funder expectations, and weekly program activities meet promised goals and outcomes.
- Oversee the smooth implementation of the programs and raise awareness of challenges/roadblock and potential solutions to the Director of Programs.
- Generate internal and external reports, ensuring compliance with all required deadlines and standards.
- Serve as a staff assistant to the Board Program Liaisons to provide updates regarding program implementation, as requested or needed.
- Track progress and tasks in the Center’s Google Drive.
- Monitor the FFK and OTB expenditures to remain within annual budget limits and provide reports to the Director of Programs and CEO as needed. Advise if expenditures would go over the allotted budget.
- Coordinate inventory, and order all program materials well ahead of deadlines to ensure staff and volunteers have the tools and materials necessary to execute the programs.
- Provide ideas and propose improvements and growth of the programs that align with the Volunteer Center’s ends policy and highest unmet community needs.
Donations
- Oversee the tracking of the in-kind donation intake and distribution process for all programs including shipping/receiving, acceptance, donor receipt and acknowledgement, data entry, sorting, storage, quality and distribution.
- Ensure that all food donations are weighed, reviewed for expiration, stocked appropriately and available for weekly packing.
- Serve as a Center liaison for all internal and external scheduled and episodic material donation drives including providing branded collection boxes, flyers, background and assisting with the collection and presentation of donations.
- Implement personal and creative donor thank-yous and acknowledgment to encourage continued engagement and donor retention.
- Coordinate all aspects of the annual inventory process to ensure accuracy and timeliness including volunteer scheduling, overseeing tasks, recording all data, and presenting to the auditors, and hosting them for the external validation check.
Distribution
- Establish and maintain strong partnerships and annual documented agreements with school and nonprofit partners to distribute food bags, school bags and other donated items.
- Update communication materials that accompany distribution programs to explain the Volunteer Center, its programs and goals to new partner staff.
- Schedule and oversee weekly, monthly and annual deliveries to assist families in need.
- Conduct periodic evaluations to collect feedback and data from recipients for grant reports and program measurements.
- Maintain a library of educational bilingual materials to include in donated distributions monthly or more often according to grant requirements that align with program goals.
Volunteer Management
- Evaluate all volunteer offers, vet prospective candidates, and create a pool of available and quality volunteer talent available to assist with programs.
- Assist in the creation of volunteer roles with documented job descriptions.
- Assist in the establishment and maintain of new and existing onboarding and training processes for volunteers.
- Create a weekly task list of all Center volunteer needs and provide communication and guidance to volunteers to ensure they are supported to accomplish the necessary tasks.
- Coordinate all aspects of regular and annual volunteer activities, programs and events to ensure engagement, safety, enjoyment and retention.
- Track volunteer hours and enter data into Google Drive for annual reports and grant updates.
- Maintain contact information and liability waivers/photo releases for all volunteers.
- Establish budget-friendly regular opportunities to appreciate volunteers, and lead an annual significant effort to formally recognize all volunteers.
- Establish and encourage partnerships with new and existing nonprofit organizations, service groups, corporate volunteer groups and schools to assist with volunteer needs as they arise.
- Use partnerships with nonprofits to populate the Volunteer Referrals webpage with up-to-date agency partners and volunteer opportunities and handle all volunteer referrals.
Facility Management
- Ensure the food pantry is clean, organized, and up to code with health and safety regulations.
- Oversee inventory management, including the rotation and proper storage of food items.
- Ensure all equipment and supplies are maintained and in good working order.
Fund Development and Stewardship
- Provide first line response to problems and issues arising from programs including missing or damaged items, conflict between volunteers, questions of processes or other issues.
- Assist with a monthly program communication plan for program donors, volunteers, the board, and funders that include appreciation, updates, and story-telling.
- Assist in developing and implementing marketing strategies and managing social media platforms to promote program visibility and engagement.
- Assist with any press releases, announcements, media events, or inquiries regarding these programs.
- Conduct program tours and presentations for special guests including donors, sponsors, potential new board members and other stakeholders, as requested.
- Seek out opportunities to document the success of the programs and personalize the programs for interested stakeholders including photos, video, and stories.
- Assist in obtaining, sorting, and presenting thank-you materials from students and families to share with program stakeholders.
- Assist with grant reporting, including statistics, anecdotes, program quotes, photos, and other materials as needed.
