Facilities Coordinator
We are seeking a detail-oriented and proactive individual to join our team as a Facilities Coordinator. In this role, you will be responsible for overseeing the day-to-day operations of our facilities, ensuring a safe and efficient working environment for our employees. The Facilities Coordinator plays a crucial role in maintaining the functionality and appearance of our facilities, while also managing vendor relationships and coordinating maintenance and repair activities.
Responsibilities:
- Coordinate and oversee all aspects of facility operations, including maintenance, repairs, and renovations at all four Upstate facilities – Home Office, Box Facility, Crane Facility, Maintenance.
- Conduct regular inspections to identify and address any facility-related issues or safety concerns.
- Serve as the main point of contact for employees regarding facility-related requests and inquiries.
- Manage vendor relationships and contracts, ensuring timely and quality service delivery.
- Coordinate and schedule maintenance activities, including HVAC, plumbing, electrical, and other systems.
- Coordinate collection of trash, cardboard, scrap steel, and pallets at all locations.
- Coordinate and schedule cleaning and pest control crews.
- Coordinate and schedule landscaping/mowing operations.
- Maintain accurate records of facility-related expenses, invoices, and contracts.
- Develop and implement preventive maintenance programs to minimize downtime and maximize efficiency.
- Assist in the planning and execution of office relocations or space utilization projects.
- Ensure compliance with health and safety regulations and maintain emergency preparedness protocols.
- Collaborate with cross-functional teams to support facility-related needs for events or special projects.
- Manage Cintas Uniform Service.
- Manage Priority One Security Service and Security Codes for Personnel
Requirements:
- Proven experience in facilities coordination or a similar role.
- Ability to complete small scale maintenance tasks.
- Strong organizational and multitasking skills, with the ability to prioritize and meet deadlines.
- Excellent communication and interpersonal skills, with the ability to work effectively with employees at all levels.
- Knowledge of building systems and maintenance procedures.
- Ability to troubleshoot and resolve facility-related issues in a timely manner.
- Strong attention to detail and a proactive approach to problem-solving.
- Knowledge of health and safety regulations and best practices.
- Ability to adapt to changing priorities and work independently or collaboratively as part of a team.
- Ability to conduct physical tours of all local facilities.
