Position Overview: We are seeking a detail-oriented and experienced Design Desk and Procurement Specialist to join our professional team. The ideal candidate will have a strong background in IT procurement processes, vendor relations, and sales quote creation. This role requires meticulous attention to detail, excellent communication skills, and the ability to thrive in a fast-paced environment.
Responsibilities:
- Prepare and review quotes for our clients for IT products and services using ConnectWise Sell with accuracy and competitiveness to the bill of materials provided by engineering in solution designs.
- Manage the end-to-end procurement process from quote creation through goods receipt, including sourcing, negotiating contracts, quoting, ordering, receipt, and inventory management
- Collaborate cross-functionally with Sales, vCIO, Project Services, Technical Assistance Center, and Accounting teams to ensure alignment on procurement priorities and deliver continuous improvements in our Quote-to-Cash process.
- Develop and maintain strong relationships with suppliers to ensure timely delivery and cost-effective pricing. Ensure Simpleworks is engaged in available partner programs to optimize the value of our supplier relationships
- Analyze market trends and recommend strategies to optimize procurement processes. Provide analysis and insights into supplier performance and opportunities to improve efficiency and quality. Stay informed about relevant compliance requirements, best practices, and emerging technologies in procurement.
- Maintain active status of resale tax exemption and proprietary vendor tax certificates, accurate records of procurement activities and contracts. Track assets, inventory levels and physical security for limited internal inventory and customer-owned stock.
Qualifications:
- Experience in procurement, purchasing, or supply chain management.
- Strong negotiation skills and ability to drive cost savings without compromising quality.
- Excellent written and verbal communication skills.
- Proficiency in procurement software (ConnectWise Sell) and Microsoft Office (Excel, Word, PowerPoint).
- Attention to detail and strong analytical skills.
- Ability to work independently and as part of a team in a deadline-driven environment.
Key Performance Indicators:
- Profit Optimization: Gross margin by commodity categories (hardware, software, SaaS, etc.)
- Cycle Time Performance: Meet the performance requirements from Project Approval to Parts Ordered and check in all received equipment within the required time window.
- Order Error Rate: Number of defects/items ordered (incorrect part quote / order)
- Customer Satisfaction (CSAT) - Maintain or exceed the minimum response rate and score.
