Full Job Description

Action Carting Environmental Services/ Interstate Waste Services is the most progressive and innovative provider of solid waste and recycling services in the country! We primarily service Northern New Jersey, Southern New York State, New York City, Pennsylvania, and Ohio. We cater to a diverse range of industrial, medical, and commercial customers. Our mission has always been to provide our customers with the highest quality waste, recycling, and environmental services, while keeping focus on employee, customer, and environmental safety.

We are seeking a Data Administration Associate who will be working out of our Brooklyn Depot (1427 Ralph Avenue, Brooklyn, NY 11236) and reporting to the Site Manager but is also subject to supervision by the Operations Manager. This is a full time, non-exempt, hourly position with a schedule starting at 7am and ending at 4pm, Monday through Friday but may vary depending on business needs.

The Data Administration Associate will play an integral role in supporting the operations of the business and specifically providing administrative support to the operations department. The Data Administration Associate will maintain and distribute operation related information on a daily basis, coordinate data from a variety of sources and prepare reports and presentations, schedule appointments and meetings, and serve as a liaison between the manager, staff and visitors.

Primary Responsibilities:

Interprets and relays company policy information, keeps the manager informed of any deviation on items requiring personal attention.
Drafts confidential correspondence, edits documents, updates inventory and records, and performs other administrative and secretarial duties.
Reviews accounts payable invoices, assigns vendor numbers and similar identifying data, and confirms correct accounting codes were used.
Enters vendor information into accounting software system; verifies that invoice information is entered correctly.
Ensure that data is entered in a timely and efficient manner.
Verifies vendor accounts by reconciling monthly statements and related transactions.
Proficient with Microsoft Office Suite or related software
Attend all required training, operational meetings, and mandatory monthly Safety Meetings
Maintain a clean, safe work area in compliance with Corporate / OSHA Standards
Maintains confidentiality of sensitive information.
Performs other duties as assigned.

Qualifications:

Applicants must be at least 21 years of age and legally eligible to work in the United States.
High school/GED education completed; higher education is a plus.
Experience from the sanitation industry is strongly preferred.
Must have advanced computer skills, including Microsoft Excel, Word and Outlook.
Excellent verbal and written communication skills.
Excellent organizational skills.
Basic understanding of automotive parts and mechanical systems.
Basic mathematical skills to develop and maintain invoices and inventories.
Proficient with or able to quickly learn the inventory system
Proficient with Microsoft Office Suite or related software programs.
Fluent in English and Spanish bilingual preferred.

Physical Requirements

Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 40 pounds at times.
Must be able to work safely in a noisy area with many odors present.
Must be able to reach items both high and low.
