Position Summary:
The Home Office Project Coordinator (HOPC) provides critical support for a wide range of international development projects focused on, for example, natural resource management, climate change, clean energy, resilience, biodiversity conservation, community livelihoods, land tenure, governance, and other fields. Under the supervision of a Project Manager or Senior Project Manager, the HOPC works closely with both US- and field-based staff members, including project Home Office Project Managers (HOPMs) and Chiefs of Party (COPs), on diverse tasks, ensuring smooth and effective project management.
Responsibilities:
- Provide project administration and program management support, including organizing logistics, preparing and disseminating meeting notes, and developing information materials;
- Maintain an organized electronic filing system of all project documents and internal trackers;
- Coordinate among project team members as needed to ensure tasks remain on schedule, keeping communication lines open, and ensuring they work well together;
- Identify and help resolve administrative bottlenecks or compliance issues;
- Track deliverables and reporting requirements and ensure procedures and documents adhere to ECODIT’s and the Client’s overall and project-specific requirements and guidelines;
- Review, finalize, and post select deliverables to Client platforms;
- Support field-based staff and identify team training needs;
- Support the recruitment process, such as developing job descriptions, reviewing candidate CVs, and supporting the interview process;
- Maintain and/or develop trackers as needed for consultant level of effort, contract status, invoices, approvals and authorization requests, expenditures, and any concerns;
- Work with other project staff to prepare, review and edit reports, such as trip reports, project quarterly reports and other project deliverables to help ensure a high-quality final product;
- At the request of HOPMs, draft consultant agreements, contract modifications, purchase orders and service agreements, and obtain all necessary supporting documentation as relevant;
- Support project staff and consultants in making travel-related arrangements;
- Support project staff with procurement process, including preparing Requests for Proposals, Requests for Quotations, or Terms of Reference, Source Selection Memos, reviewing submissions or qualifications, and/or developing final agreements;
- Draft correspondence to request approvals and travel authorization from USAID;
- Work closely with consultants and subcontractors to collect, review, and submit invoice and expense report documentation for approval;
- Review field office accounting reports (e.g., petty cash, funds reimbursement, procurement of goods) when required; and
- Other tasks as may be requested, which may also include business development support tasks.
Qualifications:
- Bachelor’s degree in international development, conservation biology or similar science, public policy, economics, water, engineering, or another related field;
- 2-3 years of previous relevant work experience in international development preferred;
- Excellent research and analytical abilities and quantitative skills;
- Strong written and oral communication skills in English;
- Fluency in at least one relevant language other than English is a plus;
- High levels of organization and attention to detail;
- Self-starter with sound judgment, motivation, and initiative;
- Ability to multitask and to work independently in a flexible small-business environment;
- Proficiency in using Microsoft Office, particularly Excel, Word, and PowerPoint;
- Willingness to work with colleagues and clients across time zones around the world, and travel internationally when needed; and
- Current U.S. work authorization required.
