Full Job Description

POSITION OVERVIEW

The Dental Office Manager will supervise the day-to-day operations of the dental practice, oversee patient relations, regulatory compliance, and administer general business management and team leadership functions.

KEY RESPONSIBILITITES

To perform this job successfully, an individual must be able to satisfactorily perform each essential duty.

Patient Relations:

Oversee patient relations to ensure patients have a positive office experience.
Help resolve unusual or escalated patient questions or difficulties.
Oversee marketing and PR initiatives, including responses to online reviews with marketing company.

Team Management:

Conduct new hire orientation and oversee new hire training period.
Provide ongoing support, coaching and constructive feedback to business team members.
With doctor, coordinate new hire and annual performance reviews for business team employees.
If necessary, and with doctor support, administer appropriate disciplinary action.
Organize and help conduct monthly team meetings.

Business Management:

Supervise day-to-day operations of dental office, with primary responsibility for business team.
Verify accurate posting of all charges, adjustments, payments and insurance claim submissions.
Oversee office petty cash tracking.
Generate and monitor necessary database reports, such as Day Sheet, monthly Production/Collection/Adjustment, New Patient, A/R, and Patient Credit Balances, etc.
Gather and forward any necessary trends and practice statistics to doctor, consultants and/or accountants.
Perform necessary close out tasks at month- and year-end.
Oversee inventory tracking and purchasing budget. Maintain all invoices according to office protocol.
Function as main point of contact for vendors.
Conduct annual patient database review and perform or direct any necessary cleanup of patient database.
Conduct annual fee structure review with doctor, and perform necessary updates.
Review and standardize procedures and systems to improve office efficiency.

Compliance:

Ensure ongoing compliance with all state and federal regulations.
Coordinate team training such as CPR, HIPAA, OSHA and other risk management as necessary.

Office / Facilities Maintenance:

Oversee maintenance of all dental equipment, IT systems, facilities and grounds.
Coordinate any office maintenance or IT troubleshooting needs with appropriate vendor.

Miscellaneous:

Other duties as assigned by doctor.

QUALIFICATIONS

Education and experience:

High school diploma or equivalent. (Related technical training or college degree preferred.)
5+ years dental experience required.
3+ years managerial experience required.

Dental / Business Proficiency

Strong knowledge of federal and state labor law regulations.
Strong knowledge of dental industry laws, regulations, terminology, and billing.
Strong knowledge of English composition, grammar, spelling, and punctuation.
Skilled- to Expert-level in the use of standard office equipment including telephones, calculators, copiers, fax, computers, and computer software such as Microsoft Office.
Skilled- to Expert-level experience in practice management software (Eaglesoft preferred).

POSITION DETAILS

This is a full-time, non-exempt position of approximately 36-40 hours per week.
Anticipated schedule: Monday through Thursday, 7:30 AM – 5:30 PM (with a daily meal break).
